Job Summary:
In accordance with the Mission, Vision and Values, and strategic directions of Provincial Health Services Authority patient safety is a priority and a responsibility shared by everyone at PHSA, and as such, the requirement to continuously improve quality and safety is inherent in all aspects of this position. Under the direction of the Medical Director or designate, and the supervision of the Administrative Manager, Pediatric Program or designate, this position provides clerical support to any of the Pediatric Specialty Medicine Divisions by performing duties such as scheduling clinic appointments, typing, transcribing, sorting and distributing related documents, inputting, sorting and retrieving data into/from database, obtaining patient information utilizing computerized software applications according to established policies, standards and procedures.
Duties/Accountabilities:
1.Reception duties including receiving and directing patients, answering, screening and redirecting phone calls, taking messages for doctors and nurses, including calls from pharmacies for refill prescriptions and verification.
2.Takes phone referrals from doctor’s offices to have child seen by the physicians, requests appropriate information to be sent such as x-rays and reports, lab work, stool cultures, etc.
3.Books, schedules and confirms outpatient appointments. Adds, deletes and changes appointments as required. This includes retrieving records, as required, for patients coming for follow-up appointments. Preregisters patients and requests patient charts from Health Records.
4.Transcribes and types correspondence such as histories, consults and physician reports for the Medical Director or physician from dictation and/or written draft.
5.Sends, receives, sorts and distributes all incoming mail, faxes, reports and documents and processes all outgoing mail.
6.Fills out and sends requisition form for stationery and supplies, according to prescribed guidelines and instructions.
7.Composes and types routine memos and correspondence and submits for approval and signature.
8.Creates, prints and distributes appointment lists, appointment letters and clinic schedules.
9.Collects and submits billing information to billing manager.
10.Accesses database and inputs/extracts information to establish, maintain and store statistical and patient data information.
11.Performs other related duties as assigned.
Qualifications:
Education, Training and Experience
•Grade 12, graduation from an approved program in medical transcription and one year’s recent, related experience or an equivalent combination of education, training and experience.
Skills and Abilities
•Ability to keyboard at 60 w.p.m.
•Ability to communicate effectively both verbally and in writing.
•Ability to deal with others effectively.
•Physical ability to carry out the duties of the position.
•Ability to operate related equipment.
•Ability to organize work.
