Responsibilities The Systems Integrator will support the Sponsor's Office of Language Policy and Strategy which is the steward of the Agency's foreign language policy, strategy, and mission. In providing front office support, forging partnerships with senior leadership to drive and foster seamless communication, and implementation of the Sponsor's vision. Responsibilities include, but are not limited to the following: Proactively manage calendar/schedule items and time by applying considerable knowledge of Director and Deputy Director's roles, responsibilities, and personal preferences in relation to the supported mission, protocols, organizational hierarchies, and working knowledge of larger mission priorities. Independently collaborate with others to resolve conflicts and provide notification of calendar items. Manage Front Office Weekly Calendar meetings. Respond directly to inquiries when appropriate or take action to facilitate resolution of a range of inquiries and concerns related to the supported mission. Critical thinking skills and effective decision making; excellent judgement and discretion; analytic skills to evaluate programmatic data/metrics; resolve inconsistencies; propose solutions to programs. Excellent leadership and customer service skills. Correspondence to appropriate internal, IC and external contacts. Seek information from appropriate Internal/IC resources or other external resources to provide background information to the principal as required adequately addressing and resolving issue and concern not deferred to others. Track assigned actions to ensure completion and response. Act as the main point of contact for ILI Front Office Leadership and other team members. Take on additional projects that will include meeting minutes (with increasing knowledge of substantive areas over time specifically technical meetings), slide decks (updates on correct templates for stakeholders), and Excel/Office spreadsheets. Provide information or respond accurately to routine to moderately complex questions and/or language issues and requests in a clear, concise, credible, and courteous manner, and in an appropriate way. Participate in meetings with organization directors to coordinate activities including meetings and travel; update calendars, as needed. Provide oversight of activities by monitoring progress to ensure organizations directors and chiefs are aware of all task statuses. Provide Director(s) with relevant discussion topics for future meetings: Draft clear, concise, hard and soft copy, routine to moderately complex, correspondence on behalf of the principal, emulating his or her style and voice. Format, proofread, and edit correspondence and review other documentation to ensure clarity, accuracy, grammar, and edit conformance with guidance and ensure response adequately addresses concern/question. Route/track through completion. Plan and coordinate program management processes activities and leverage experience to recommend streamline and efficient business processes. Manage internal business actions, identify internal and external dependencies, and apply decision analysis to ensure tasks and action progress at a rate commensurate with organizational operations tempo. Facilitate engagement sessions with mission partners and/or other forums. Facilitate engagement sessions with IC partners. Develop standard operating procedures and associated documentation. Manage day-to-day office operations and seek to improve office workflow. Qualifications Must possess and be able to maintain a TS/SCI clearance with Polygraph. Strong oral and written communications and interpersonal skills; strong attention to detail. Demonstrated experience with the MS Office suite with the ability to prepare technical and non-technical briefings/presentations for use at the executive level. Proactive with a demonstrated experience multi-tasking in a fast paced and demanding technical environment. Demonstrated experience and solid understanding of long-range strategic planning in a large organization, change/transition management, portfolio management, and financial management. Demonstrate intellectual rigor and professional expertise to brainstorm new ideas and identify appropriate industry and sponsor best practices. Demonstrated ability to work effectively in team environments. Ability to coordinate information flow occurs between all programs and organizational managers.
