Qualifications

High School diploma or higherThree to five years experience Administrative Assistant/SecretarialProficient in office equipment operation, keyboard 50 wpm, computer software; Win95, Word, ExcelEffective management, leadership, organizational and communication skillsGuest service oriented, with excellent Hospitality skillsAbility to work flexible schedule to include weekends and holidays

Key Responsibilities: 

Greets and assists visitor to the departmentAnswers incoming phone calls, directs calls to appropriate department as necessaryTakes and transmits messages for DirectorMaintains appointment calendar for Director and keeps him/her informed of scheduled commitmentsPrepares and distributes correspondence for departmentReceives, sorts, distributes department mailAssists in the preparation and distribution of reports generated by the departmentMaintains reader file for Food and Beverage Department personnelMaintains files for and thorough familiarity with contracts for services, materials and suppliesMaintains trace file for time sensitive activities and materialsEstablishes and maintains files to effectively organize the departmentControls inventory for office supplies, requisitions same as needed to support operationsMaintains departmental payroll reports/records and training records and contact file for department personnelMaintains accurate contract and contact information for vendors, suppliers and other organizations doing business with Loews (Insert Hotel Name)Assists in the preparation of monthly inventory reportsAssist in the completion of special projects as assigned by the DirectorAssists other Food and Beverage department personnel as necessary to ensure smooth operation of departmentOther duties as assigned
