Position: FR2 – Festival Administrative Assistant II – Fringe Festival
Contract Length: 26 Weeks (six months) Anticipated Start Date: January 13, 2025 End Date: July 14, 2025
Work Schedule: Full time, 4 business days per week (32 hours) Office Location: Downtown – 2 Daly Ave
Job Summary: This position is funded through Ontario’s Job Creation Partnerships (see more details below). Reporting to the Executive Director, the Festival Assistant will assist the Ottawa Fringe team managers on various projects and tasks including programming, volunteers, logistics and administration.
Responsibilities:
Provides administration support before and during the festival to the portfolio of volunteer outreach, artist management, and event coordination including but not limited to:
Monitor and respond to emails and inquiries regarding the festivals. Update festival contact lists and prepare other documents as needed. Work with the General Manager to prepare, program and troubleshoot the ticketing platform. Help prepare, process and file vendor and performer contracts. Support Front of House and volunteer operations with scheduling and training. Support Front of House by assisting patrons with transactions and at points of entry into the theatres, as required. Arrange performers’ travel and accommodation, if applicable. Document performers needs such as driving arrangements, if requested. Support the Ottawa Fringe team onsite during undercurrents and Ottawa Fringe Festival. Support Ottawa Fringe’s accessibility initiatives and integrate them into workflows. Work with the team to post-evaluate the event and make recommendations for the next year’s event. Assist in other duties, as required.Skills and Qualifications Required:
At least one year work experience in administration, customer service or similar role Strong attention to detail. Proficient in Google Workspace platforms, with experience in Canva considered an asset. Proficiency with databases and data entry. Well organized, works well in a fast-moving environment and takes on projects simultaneously and autonomously. Experience in event management or the arts sector would be considered assets.Additional Qualifications Required:
Candidate eligibility for JCP is determined according to the following criteria:
An unemployed job seeker or those employed less than 20 hours per week. A permanent resident living in Ontario who is legally authorized to work in Canada. Meet at least 1 of the following criteria: Has an established Employment Insurance (EI) benefit period. Previously established an EI benefit period that has ended within the previous 60 months. Paid employee EI premiums (e.g. Box 18 on the T4) in at least 3 of the last 10 years while earnings have been at least $2000 in each of those years. Received the Employment Insurance Emergency Response benefit (CERB) within the previous 60 months.NOTE: Persons currently enrolled in full-time academic studies are not eligible for consideration. Those who qualify to establish an Employment Insurance (EI) claim must do so prior to being considered for JCP participation.
Remuneration:
$688 (gross) per week paid biweekly by the Province of Ontario (average hourly rate: $21.50 based on 4 days/32 hours).
