\n \n Job Description

The Front Desk Administrative Assistant will support Community Leadership, Portfolio Managers, Community Association Managers, Onsite Managers, homeowners, members of the Board of Directors, and Maintenance Vendors and Contractors in the day-to-day needs of community associations that we serve. This includes condominiums, townhomes, single family homes, and 55+ active adult communities.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

\n\nPrimary initial contact for incoming calls and visitors to the management office.\nAnswer phones, manage emails, research homeowner accounts and respond to inquires.\nCollect payments and assist with AP.\nIssue parking passes, pool passes, and key fobs.\nManage clubhouse reservations and renting meeting spaces.\nMonitor office supplies and inventory.\nProvide community-wide communications via e-mail, flyer, or newsletter as appropriate and as directed by the Portfolio Manager.\nEnsure that the office and community bulletin boards and calendars are up-to-date, orderly and organized.\nMaintain all computer database files and computer/office equipment.\nProperty level point of contact for vendors. Compile vendor \"to do\" list and monitor work of vendors in absence of the Portfolio Manager.\nProcess modification applications and associated letters and documents where appropriate.\nWork closely with the community's various committees and provide administrative support were required.\nOpen and date stamp all mail immediately upon receipt -- distribute accordingly.\nBe familiar with all governing documents, policies, rules, and regulations.\nAssist in the mailing of newsletters and any other correspondence as instructed by the Portfolio Manager.\nPerform other duties as may be assigned from time-to-time.\n\n Requirements

Qualification/requirement:

\n\nProficiency in Microsoft Office Suite, fax/copy machine.\nHigh school diploma or equivalent.\nClear written and verbal communications.\nTelephone, time management, and organizational skills.\nAttention to detail.\nAble to maintain and protect confidential information.\n\n
