Job Title: Front Desk Administrative Aide

FLSA Status: Part Time - non-exempt (25hours/week)
Reports to: Center Director 

Supervises: N/A

Rate of Pay: $19/Hour

Closing Date: 1/11/2025

Benefits: Standard; Part-Time, Non-Exempt employees are eligible for but not limited to the following:

Sick leave benefit – 1 day per month, 12 sick days per year (accrual and availability begins at hire; sick time accrual is pro-rated for part-time hours.) Vacation benefit – 10 vacation days per year, accrued at the rate of .0385 hours for each hour worked, excluding overtime (accrual begins at hire but may not be used until the completion of six months of employment; vacation accrual is pro-rated for part time hours.) Pension Plan (after one year of continuous service) with at least 21 hours worked per week. 

Position Summary:

The Front Desk Administrative Aide is responsible for maintaining and monitoring the safety of both members and employees throughout the center. It is the face of the Denver Red Shield and is responsible for providing a warm, welcoming environment which includes providing exceptional customer service experiences. This position also includes using their free time to support the Business Administrator with clerical tasks. Responsibilities include verifying memberships through the POS (Point-of-Sale) system, using a computer and varying software to complete assigned tasks, diffusing stressful situations, providing information and answering questions and communicating with members in an authoritative and compassionate manner.

 Qualifications, Education and Work Experience:

Must have or obtain CPR and AED certification, and attend all necessary TSA safety training classes. Excellent communication skills so as to facilitate good communication between staff, volunteers, and patrons. Ability to use and teach standard office computer programs (i.e. Microsoft Office). Must be a self-starter and a team player, perform well with minimal supervision. Strong organizational and communication (verbal and written) skills.

Knowledge, Skills and Abilities Required:

Must have good written and verbal communication skills. Able to handle multiple tasks/projects at one time. Ability to learn and utilize the CCMS system, including cash handling. Willingness to continue educational skills as necessary for job performance. Able to relate to people in a courteous and professional manner with good interpersonal skills, maintaining a non-judgemental attitude in working with customers, clients, members and staff. Must be capable to perform essential duties in an office environment to include using a computer and answering phones.

Scope of Position/Essential Functions:

Performs administrative support duties Greet indivuals as they enter the building and ensure they feel welcome and have a positive experience by providing prompt, courteous service. Handle routine correspondence. Process dictation for signature and distribution. Answer phones; handle routine calls and direct calls to the proper department/ program. Take and pass messages as needed. Assist Corps Officers and Program Director with mailing and special projects. Design brochures and flyers for various events. Make telephone calls as requested (e.g., meeting reminders). Maintain front desk area keeping it clean and in order. Keep the center information board current. Work with staff on special projects. Maintain progressive knowledge of all programs and facilities. Oversee daily operation of membership kiosk (CCMS) including membership check-in, payments and updating member records. Help to maintain and track memberships and classes through the backend of the Kiosk (RMS). Open and close building as necessary. Adhere to professional standards of practice. Appropriately represent The Salvation Army in the community and be responsible to and be supervised by the Office Manager. Maintain confidentiality. Maintain positive work atmosphere by behaving and communicating in a manner that fosters good relationships with clients, co-workers and supervisors. This includes, but is not limited to, such actions as: resolution of conflicts in a professional manner; courteous treatment of staff, visitors and clients; respect of others’ property and person; and professional and appropriate communication to and about clients, co-workers and supervisors. All other tasks as assigned.

Physical Requirements: Ability to maneuver and Ability to remain in a stationary position, bend, squat, climb, kneel and twist on an intermittent or continuous basis.  Ability to grasp, push, pull, and reach overhead.  Ability to operate telephone. Capable of frequently lifting 20 pounds.  Ability to access and produce information from a computer.  Ability to understand written information.
