Description
Robert Half's client in Hayward is seeking a Front Desk Coordinator.
This individual will manage our front desk daily and perform various administrative and clerical tasks. As a receptionist, you are our company's first point of contact, giving clients and staff directions.
Answering phones, taking messages, managing on-call schedules daily schedules, sorting and distributing mail. Need to deal with emergencies promptly and effectively while streamlining duties.
We are looking for an individual open to stepping in to help other team members and cross-train as needed in an ever-changing environment.
Responsibilities
• Greet and welcome guests and assist with all inquiries
• Maintain security by following procedures, monitoring logbooks, issuing visitor badges
• Notify personnel of visitor arrival
• Answer, screen, and forward incoming calls as necessary
• Maintain employee and department directories
• Receive, sort, and distribute daily mail
• Ship documents through FedEx
• Ensure the work area is tidy and presentable
• Order office and cafeteria supplies and maintain the copy machine and Pitney Bowes for repairs and staff needs.
• Intake new Job Leads, enter in the CRM system, manage sales support, and track and update data (daily)
• Create Job Announcements
• Update Daily and On-Call Schedules
• Review and approve invoices for accuracy and documentation
• Enter invoices into the accounting system
• Create purchase orders
• Track and secure approvals for invoices
• Support General Manager and Sales Manager with reports and audits
• Communicate with vendors about insurance updates, W9s, and Certified Payroll Reports
• Research and resolve invoice discrepancies
Qualifications
• High school diploma, with an associate or bachelor's degree preferred
• 3+ years of experience
• Communication, Grammar, and Written proficiencies
• Google Web Browser, Chat, Google Share Drives proficiencies
• Knowledge of accounting principles
• Proficiency in Adobe, Excel, and Word
• Knowledge of payment processing methods
• Awareness of relevant regulations
Requirements • Proven experience in Administrative Assistance
• Proficiency in Answering Multi-Line Phone System
• Experience with Concierge Services
• Strong Customer Service skills
• Proficient in Data Entry tasks
• Exceptional Interpersonal Skills
• Proficiency in Microsoft Excel, Outlook, and Word
• Experience in Organizing Files effectively
• Ability to Deliver Mail promptly and accurately
• Familiarity with CRM - Customer Relationship Manager
