Front Desk Coordinator Job Details Job Location VOACC - Rochester, NY Position Type Full Time Salary Range $24.50 - $26.50 Hourly Travel Percentage Negligible Description Position Title: Front Desk Coordinator/ Enrollment Specialist Classification: Non-Exempt Reports to: Center Director Pay range: $24.50 - $26.50 per hour IDEAL CANDIDATE A highly organized individual with a warm, friendly, and polite demeanor, who values and respects others while embracing diversity. Skilled in documentation and file management, with a strong understanding of center policies and procedures. JOB DUTIES AND RESPONSIBIITIES Front Desk Duties + Prepare the center for opening and closing each day + Assist with the preparation of center flyers, memos, calendars, and communication, and communication follow-up + Support all enrollment, recruitment, selection, and attendance processes for daycare, Rochester City School District, United Way, and Summer LEAP programming. Including recruitment processes, parent follow-up, data entry, tracking, etc. + Makes service requests and restocks classrooms with essential items + Answer the telephone in a courteous and friendly manner. Respond to questions and direct calls as appropriate, and record and forward messages to the relevant staff as needed. + Process childcare payments from parents, ensure the security of such payments, and provide receipt of payment. + Maintain building security at all times (monitor doors; greet and direct staff, families, and visitors; verify the identity of pick-up persons as needed; direct visitors as needed) + Assist families and visitors as needed with completion of paperwork (program application forms, child care statements, etc.) + Maintain organization and cleanliness of front desk area including maintaining files, forms, arrival and departure logs etc. + Monitor and support with entering attendance and meal counts for all children enrolled in the center + Provides back up coverage for lunch and bathroom breaks for classroom staff as needed. + Serve as the point of contact for community partnerships for Pre-Kindergarten placement and Kindergarten registration services, Procare database, and any other database systems as needed. Database Maintenance + Enter and verify attendance for all children center-wide into the designated information management system + Input and review meal counts and attendance for all children enrolled in EPK, UPK, Child Care, and School Age into a designated information management system for CACFP purposes Monthly Reports + Complete occupancy report per established timelines + Complete and submit DSS billing per established timelines + Track and manage private pay General + Assist the Center Director, and management with administrative tasks as needed + Make Attendance and enrollment follow-up calls to families as needed + Ensure center confidentiality is maintained at all times. + Other duties as assigned. EXPERIENCE AND EDUCATION QUALIFICATIONS + High School diploma/GED + Associate’s degree or equivalent experience preferred + 2-4 years of experience in a clerical office setting + Excellent written and verbal communication skills. + Efficient with Microsoft Office Suite, Outlook, and multiline phone systemsand other center technology + Strong analytical, problem-solving, and data compilation skills. + Detail-oriented and self-motivated. + Ability to meet deadlines despite multiple priorities. + Able to work independently and in a team environment. + Ability to work with limited supervision + Proven ability to respectfully interact with people of all socioeconomic and organizational levels. + Patience and tact in dealing with outside agencies, children, parents, and staff + Experience working with client population served preferred.
