Job Description

SUMMARY:

Reporting to the Director of Performance Operations, the Front of House Coordinator supervises and implements front-of-house activities. The position also includes cross-training in various departments and venues. The Front of House Coordinator serves as the house manager for PEAK Performances, the Department of Theatre & Dance, John J. Cali School of Music, the School of Communication and Media, campus partners, community entities, and rental clients as assigned. The Front of House Coordinator is responsible to schedule assistant(s) house manager and ushers based on the theater’s calendar of events and on an as-needed basis at the discretion of the Patron Services Manager and assist with all aspects of the concession’s operations.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Serve as the House Manager on performances and events with duties such as greeting guests, resolving seating issues, managing ushers and assigning roles, maintaining safety and ADA protocols, and problem-solving guest and concession related issues as they arise.

Review applications and make recommendations for hiring Student Assistants and Federal Work Study Interests and assist in maintaining applicant lists via Handshake and represent the department at Career Fairs.

Assist in maintaining and reviewing sign-in sheets for FOH staff. 

Assign ushers responsibilities and supervise part-time and student workers as ushers during performances. 

Provide continual training as outlined by the existing departmental procedures.

Ensure the theater is fully prepared for patron needs at each performance.

Liaison with cleaning staff and parking services as needed. 

Monitor and maintain standards for lobby and audience chambers, greeting patrons entering the theater.

Maintain a positive and friendly environment to efficiently manage all patron issues (ticketing conflicts, complaints, medical emergencies, etc.).

Compile and prepare performance reports.

Setup and breakdown wayfinding and performance signage for performance venues.

Oversee all aspects of concessions. This includes: inventory, purchasing, setup, signage, staffing, operation/reporting for the POS/U-STORE system(s). 

Perform opening and closing duties for the theater and to ensure that all patrons have exited and the building is secure.

Train students, over hire, and volunteer ushers to maintain professional and safety standards for all CART performance venues when serving as House Manager on events.

Maintain the FOH staff uniforms including name tags and jackets.

Perform minor repairs to seats and spot-clean between performances.

Update and maintain calendars, send notifications of changes.

Review and monitor ADA systems, make recommendations for improvements and modifications.

Assist the Patron Services Manager with duties such as scheduling ushers and temporary staff, leading or assisting with training sessions, setting up and staffing concessions/merchandise areas, inputting concession reconciliation, and managing food truck procurement for special events, ensuring vendors obtain necessary permits.

Assist the Box Office Manager with duties such as reviewing and proofreading event details on Tix and the CART website, maintaining box office equipment, reviewing patron communications, supervising students and part-time staff, serving as a Box Office Associate when needed, and assisting with staffing the mobile box office and distributing promotional materials for ACP and academic units.

Perform other duties as assigned.

QUALIFICATIONS: 

REQUIRED:

Bachelor’s degree from an accredited college or university.

Minimum of one year of professional experience working in Front-of-House, Box Office, or similar role in a professional dance, music, theater, events or related organization.

Experience in sales or customer service related positions.

Strong ability to work with people of varying skill and experience levels and supervise teams of students and part-time employees. 

Experience in Google Suite, MS Office, and Zoom, and an ability to learn new software systems as needed.

Availability to work a flexible and varying schedule, including nights, weekends, and occasional holidays.

Excellent customer service skills and communication skills. 

PREFERRED:

Experience in TIX (or comparable technology) or other box office software.

Demonstrate ability to handle multiple projects simultaneously and make decisions under pressure.

Demonstrated a history of advocacy for diversity, equity, and inclusion in their work and foster a work environment that is safe, respectful, and supportive.

Previous experience within an arts organization and a passion for the performing arts.

Ability to thrive in a team-based environment.
