Enabling global flight, with passion. **Position Summary** As a Fuel Services Specialist, you will be a key player in ensuring the seamless operation of fuel services for Jet Aviation’s managed fleet and partnership aircraft. Working with a small but mighty team, you’ll bring a deep understanding of the aviation industry to support pilots, crews, handlers and FBO agents in delivering exceptional service. In this fast-paced and dynamic role, you will coordinate fuel operations with precision, managing tight deadlines and evolving priorities throughout the day to meet the demands of our global aviation clients. This role follows a 4-day, 10-hour schedule with a hybrid work setup, allowing for 2 days in the office and 2 days working from home. Join us in a work culture that celebrates both individual excellence and a shared passion for enabling global flight. **Requirements** + You have a two-year degree and at least two years of experience in a corporate or commercial aviation role. + You are proficient in Microsoft Office, particularly Excel (e.g., creating spreadsheets and formulas) and Outlook for efficient task management. + You have a strong understanding of aviation terminology and industry processes, including the phonetic alphabet, FAA Dispatch operations, aircraft range, speed, capacity, and landing requirements. + You are highly organized and capable of prioritizing tasks in a fast-paced, time-sensitive environment with shifting priorities. + You have strong written and verbal communication skills, ensuring clear and effective coordination with pilots, crews, and operational teams. + You have demonstrated success working both independently and collaboratively in a structured operational setting. + You are detail-oriented and committed to maintaining high standards in accuracy, efficiency, and service quality. **Main Responsibilities** As a Fuel Services Specialist, you will be the trusted point of contact for managing and optimizing fuel operations for Jet Aviation’s fleet. Your role involves preparing fuel quotes for internal teams, ensuring they include vendor rates, fees, and minimum intake requirements to waive additional charges. You’ll negotiate reduced purchase pricing at high-volume retail locations and maintain preferred purchasing arrangements to keep operations running smoothly. Monitoring flight schedules and adjusting to trip changes, you will evaluate fuel uplift needs and select the most cost-effective and efficient providers for each location. You’ll play a vital role in supporting flight operations and crew members by preparing detailed fuel purchase instructions and resolving any fuel-related issues before, during, or after trips. This includes setting up fuel releases, assisting with scheduling, and providing real-time guidance to ensure seamless operations. Post-flight, you’ll confirm and verify fuel transactions, reconcile discrepancies, and collaborate with the accounting team to streamline payment processing with accurate documentation and timely follow-up.
