Full-Time Administrative Assistant

Position Purpose:

Under supervision, provides administrative and clerical support to assigned staff members. Primary responsibilities include documentation, data processing, reports, scheduling meetings, set-up and maintenance of office files, and maintenance of office equipment and supplies. Uses discretion in screening and prioritizing phone calls and mail, editing outgoing correspondence and coordinating schedules and meetings. Provides back up for other administrative staff when necessary.

What You Will Do:

Gathers, summarizes, and formats data for various reports and projects specific to the assigned department and/or staff members (e.g., budgets, committee reports).

Assists staff members with ongoing processes and special projects as assigned.

Interacts with members of other departments to coordinate assignments and facilitate completion of administrative tasks. Regularly consults, shares information with co-workers and colleagues regarding procedures, techniques, and technical information.

Copies, distributes, and faxes documents to ensure accurate and timely customer service. Operates other office equipment as needed.

Organizes and maintains file systems to ensure current and easily accessible information. Systems may be manual or computerized (requiring data entry).

Sorts, reviews, and prioritizes incoming mail. Prepares outgoing mail and packages for shipment.

Maintains and coordinates meetings for designated staff members, including travel and conference arrangements. Has authority to commit to, change and/or cancel appointments and meetings.

Screens and prioritizes incoming telephone calls; answers routine questions and provides information when appropriate. Correctly transfers calls and/or takes and forwards appropriate messages.

Minimum Qualifications:

High school diploma or equivalent combination of education and experience. Bachelor’s degree desirable.

Familiarity with administrative procedures, usually gained through two or more years of clerical and/or administrative experience, preferably supporting management within a corporate setting.

Proficient in Microsoft Office, such as Word, Excel, and PowerPoint. Accurate typing and proofreading skills, and accurate spelling and grammar. Proven ability to compose and edit correspondence and create and develop reports and presentations.

Telephone skills, and the ability to operate office equipment such as copiers, fax machines, personal computer, and printers.

Interpersonal skills to effectively coordinate communication between internal department staff, other departments, and a wide range of customers to schedule and plan meetings, resolve customer inquiries, and respond to internal customer issues.
