Position: GA1 – Festival Administrator – Grassroots Festival

Desired Contract Length: 26 Weeks             Start Date: January 20, 2025            End Date: Initial term approved to the Province of Ontario’s current fiscal year end, March 31, 2025.  Additional weeks, ending July 18, 2025 is pending the approval of Ottawa Festivals’ fiscal year (2025-2026) JCP program agreement.

Work Schedule:  Full Time – 4 business days (32 hours per week)          Location:  Hybrid:  Virtual and 1 day/week at Westboro office

Job Summary: This position is funded through Ontario’s Job Creation Partnerships. Reporting to and working under the direction of the Festival Executive Director/Producer, the Festival Administrator will assist in a variety of administrative tasks.

RESPONSIBILITIES:

Maintain volunteer database and contact lists ensuring they are up to date for past, current, and new volunteers. Participate in outreach activities to secure volunteers. Contact new volunteers by phone as required. Assists in scheduling volunteers and with communication around scheduling. Assists in assigning volunteers to various positions. Assists in updates to a volunteer handbook. Assists with providing information to all volunteers prior to Festival. Creates social media updates to Facebook and Twitter. Assists the Publicity Committee with online listings, editing content for communications and various other related tasks as assigned. Helps revise and maintain the grassroots website FAQs. Assists with planning and executing the Volunteer welcome party prior to the festival. Other related administrative tasks as assigned.

SKILLS REQUIRED:

Excellent oral and written English language skills. Excellent organizational skills. Excellent interpersonal skills. Multi-tasking skills. Reliable and able to work cooperatively as a team member with a minimum of supervision. Experience with typical office automation tools (e.g., spreadsheets, documents, etc.) Scheduling skills

Additional Qualifications Required:

Candidate eligibility for JCP is determined according to the following criteria: 

An unemployed job seeker or those employed less than 20 hours per week.   A permanent resident living in Ontario who is legally authorized to work in Canada.  Meet at least 1 of the following criteria:  Has an established Employment Insurance (EI) benefit period.  Previously established an EI benefit period that has ended within the previous 60 months.  Paid employee EI premiums (e.g. Box 18 on the T4) in at least 3 of the last 10 years while earnings have been at least $2000 in each of those years.  Received the Employment Insurance Emergency Response benefit (CERB) within the previous 60 months. 

NOTE: Persons currently enrolled in full-time academic studies are not eligible for consideration. Those who qualify to establish an Employment Insurance (EI) claim must do so prior to being considered for JCP participation.     

Remuneration:

$688 (gross) per week paid biweekly by the Province of Ontario (average hourly rate: $21.50 based on 4 days/32 hours).
