We are presently identifying candidates for the following position: GCIF Administrative Assistant – Administrative and Support IV (CARSI – El Salvador). This candidate will work with Dept. of State, International Narcotics and Law Enforcement (DOS-INL) in San Salvador, El Salvador on the Central America Regional Security Initiative (CARSI) contract. The CARSI contract, one of the largest and most sophisticated multi-lateral security efforts in the world, provides funding for the US Government to assist the governments of the CARSI countries with police professionalization, justice sector reform, counter narcotics efforts, border security management, crime and violence prevention, and anti-corruption efforts. This initiative will focus on a series of Policing, Specialty, IT and Administrative roles. Requirements and responsibilities for this role are as follows: Duties and Responsibilities + Ensures efficient operation of office. + Answers phone calls, schedules meetings and supports visitors. + Performs administrative duties such as filing, typing, copying, binding, scanning etc. + Completes operational requirements by scheduling and assigning administrative projects and expediting work results. + Exhibits polite and professional communication via phone, e-mail, and mail. + Supports team by performing tasks related to organization and effective communication by providing information, educational, and experiential growth opportunities. + Ensures reliable operation of office equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques. + Provides information by answering questions and requests. + Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies. + Maintains communication with MJSP with regards to payment of services and maintenance of the houses assigned to GCIF. + Maintains communication with vendors with regards to contracts, payments and maintenance of rented apartments assigned to GCIF. + Support GCIF in identifying providers, requesting quotes, and procuring office equipment, furniture, and office supplies. + Consults with property owner to ensure the good functioning of the office building. + Ensure compliance with security protocols for GCIF staff and visitors to the Center. + Ensure compliance with the rules established by the Center (security, business casual clothing standard, punctuality, performance, rotations, replacements, among others). + Supports International analysts with travel arrangements. + Assists International analysts with obtaining residence visas. + Manages vehicles assigned to GCIF. + Supports GCIF coordination with participating countries providing training opportunities for analysts. + Supports GCIF coordination with INL the trainings offered by ICD. + Supports GCIF coordination with INL training opportunities in the USA. + Supports GCIF coordination of special events. + Coordinate and record the reports obtained from the different meetings related to GCIF. + Coordinate the preparation of the annual report, periodic reports prepared by the tactical, open source, financial and strategic units. + Coordinate the protection of information both digital and physical (printed copies). + Coordinate with the General Coordinator, the Head of Informatics of the GCIF and the Head of Informatics of INL the implementation of the E-Learning platform. + Coordinate with the INL liaison the digital receipt of all documentation related to GCIF: MOU´s, presentations, meeting reports, monthly and annual reports, Vetting information, trainings and training reports, budgets, inventories, travel reports, visitor reports, report to national, international and INL personnel assigned to GCIF, etc. + Manage all documentation related to the GCIF (MOUs, procedure manuals, SOPs, administrative manuals, etc. in support of GCIF Colombia. + Serve as secretary to the GCIF Board of Directors, preparing agendas and taking minutes for quarterly meetings. Minimum Qualifications + Four (4) years of college studies or equivalent experience are required. + Level 3/3 English, Level 4/4 Spanish + Five (5) years administrative experience in a professional setting + Previous government, law enforcement and/or project management experience preferred + Ability to translate between English and Spanish + Knowledge of the Microsoft Office suite to include Word, Excel, and Power Point + Ability to learn new software Preferred Qualifications + Demonstrated at least three years' work experience with all Microsoft Office software + Demonstrated five years of work experience in a large administrative or office support environment. + Must have a valid Salvadoran Driver’s license + Demonstrated experience in coordination of procurements, events, schedules, training, travel, and other activities. + Demonstrated experience working with an international agency or foreign assistance affairs. + Minimum two-year commitment to position.
