Summary of Job Duties:The Graduate Medical Education (GME) Program Coordinator will manage the day-to-day operations of the residency/fellowship program and contribute to the success of the program through support of the program director in accreditation efforts, educational programming and support of residents. The program coordinator is a member of the program’s leadership team and as such has a unique knowledge of the Accreditation Council for Graduate Medical Education (ACGME) and program-specific requirements, policies and procedures. The program coordinator serves as a liaison between program and trainees, faculty, staff, hospital administration as well as internal and external departments.
Qualifications:
Bachelor's degree in business, education, general liberal arts, or related field plus three (3) years of project management or office coordination experience or
High School diploma/GED plus seven (7) years of project management or office coordination experience required.
Preferred Qualifications:
3 Years of GME program coordination experience.
TAGME - Training Administrators of Graduate Medical Education.

Responsibilities:
Manage program directors' calendars (meetings, lectures, SAR), credentialing, and license renewals.
Compile anonymous evaluation comments for programs/rotations.
Update addresses, send invitations, and manage guest check-in for the education banquet.
Distribute resident mail, update files (CSV, SAR, PRITE), prepare completion certificates, and order weekly lunches.
Send reminders to speakers, set up A/V for lectures, print sign-in sheets and evaluations, track attendance, and calculate lecturer scores.
Compile and coordinate faculty and resident call schedules across ACH, VA, and UAMS; manage call updates and problems.
Maintain resident/fellow rotation schedules, assigned evaluations, tracked duty hours, updated profiles and statuses, and managed evaluation forms and reports.
Arrange travel for faculty and residents.
Submit invoices for memberships, lunches, events, retreats, and recruiting.
Order office supplies, educational materials, and replacement computers.
Reconcile travel card and procurement card monthly, request spend authorizations for events and purchases, and submit reimbursements for faculty and residents.
Process request for medical student monetary awards.
Send weekly announcements and reminders for upcoming lectures, and collect presentation materials from speakers.
Submit CC information to the CME office and assist with yearly CME renewal.
Prepare flyers and paperwork, coordinate with video conferencing, A/V support, and housekeeping for lecture setup.
Serve as backup student coordinator and proctor NBME exams.
Perform other duties as assigned.
