This position serves as a certified contract manager and requires a person who is attentive to details, highly organized, possesses strong written and verbal communication skills, financial literacy, and ability to meet deadlines. The position is required the follow, interpret, and apply any applicable Department, state and federal rules and laws. The following duties and responsibilities are assigned to this position: Your Specific Responsibilities: The contract manager will be responsible for management a variety of member project contracts and serve as the primary contract manager for the Fetal Alcohol Spectrum Disorder (FASD) program. + This position requires communication with internal and external programmatic personnel, coordination and facilitation of meetings related to management of FASD contracts and associated deliverables. + The incumbent will be responsible for performing programmatic and fiscal monitoring of the contract to ensure accurate and timely performance of services and compliance with all contractual requirements. + This position is responsible for working with cross functional units, including the assigned contract liaison, the Budget office and management to ensure timeliness in the drafting and execution of the original contract, amendments, renewals, and extensions. + The position is responsible for maintaining complete documentation of contract management activities in the appropriate files and will serve as the lead for any audits pertaining to the contract. + The incumbent shall maintain an up-to-date electronic contract file which includes all appropriate contract documents including critical correspondence and a payment tracking log. + The position is responsible for the processing of invoices in accordance with established guidelines and shall use the Cherwell invoicing system to initiate the payment process and shall ensure that the contract remains on budget and deliverables met prior to initiating payment. + The incumbent shall maintain knowledge in the preparation of amendments, renewals, and extensions; maintaining a contract file; the financial management of contracts; payment processes and invoicing; budget related activities for assigned contracts including budget oversight; preparation of financial reconciliations; contract closeout; and reporting. + This position must participate in all required contract management and invoice training in accordance with Departmental guidelines. + Participates in quality assurance reviews to determine compliance with administrative and financial management requirements. + Prepares reports and makes recommendations as necessary to correct identified deficiencies and improve operations and service delivery. + Assists in the collection and analysis of data relating to key performance indicators. + Perform other duties, as assigned. Preferred Qualifications: + This position is required to have experience understanding and interpreting state or federal rules and laws. + A minimum of one year of contract, vendor management experience, billing and invoicing or budget management experience. Three years of experience preferred.
