The interview will include an interview by the counseling staff and a fifteen-minute mock counseling session. The GA may hold an outside job off campus if it does not interfere with the fulfillment of the position’s responsibilities. Posting Details Position Information Job Title Graduate Administrative Assistant - Counseling Services General Description This is a graduate assistant position responsible for assisting staff with administrative duties, including gathering, organizing, and analyzing information related to the operations and activities of Counseling Services. This position communicates with a diverse group of students, ensures confidentiality, and maintains high professional and ethical standards. Reports to the Director and professional staff in the department. Job Duties 1. Provides office and programming assistance to department by performing administrative duties and responsibilities, to include scheduling student-clients. 2. Provides variety of direct services to student-clients, including but not limited to assisting with intakes. 3. Assists in promoting departmental services by providing faculty, staff, students, and/or the general public with applicable materials and information, including but not limited to managing departmental social media accounts. 4. Develops and provides counseling-related presentations and events. 5. Remains knowledgeable of related on- and off-campus departments, programs, activities, and resources. 6. Maintains and updates confidential records. 7. Documents work activities in electronic recordkeeping system. 8. Assists in responding to inquiries and providing ongoing support through email, phone, and personal interaction. 9. Works evenings, nights and weekends as assigned. 10. Performs other related duties as assigned. Required Knowledge, Skills, and Abilities The individual must possess the following knowledge, skills and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation. 1. Knowledge of, or ability to learn, university policies and procedures. 2. Knowledge of professional standards, regulations, and ethics related to the area of responsibility. 3. Knowledge of general office and clerical procedures and concepts. 4. Skill in using computer applications including spreadsheet, database, and word processing software. 5. Skill in online media management, including the use of social media outlets. 6. Skill in completing assignments accurately and with attention to detail. 7. Organizational skills in managing projects simultaneously while maintaining a satisfactory work product. 8. Ability to accurately prepare and maintain records, files, and reports. 9. Ability to adapt to a variety of situations. 10. Ability to communicate effectively in both oral and written form. 11. Ability to maintain effective interpersonal relationships. 12. Ability to communicate professionally and courteously with university faculty and staff, students, and the general public. 13. Ability to work successfully as a member of a team and independently with moderate supervision. 14. Ability to understand and follow instructions. 15. Ability to process and handle confidential information with discretion. 16. Ability to learn office- and university-specific software. 17. Ability to provide support for student development with a demonstrable concern for students. 18. Ability to work evenings, nights and weekends as necessary. Required Qualifications The minimum education required for admittance as a graduate student at Stephen F. Austin State University. The recommendation of a faculty member may be required. No direct experience is required. Training and instruction will be provided. Preferred Qualifications Physical Demands Special Conditions for Eligibility A student must have clear or provisional admission to the graduate school and the academic unit, be in good academic standing, and be enrolled in six or more credit hours of graduate courses to be eligible for a graduate assistantship during the fall or spring semesters. To be eligible for a graduate assistantship during the summer, a student must be enrolled in three or more credit hours of graduate courses.
