Job Description

SUMMARY:

Reporting to the Associate Director of Graduate Admissions Operations, the Graduate Enrollment Generalist provides student-centered customer service expeditiously and accurately processing student application materials. This position serves an integral role on the Graduate Admissions team to ensure the graduate enrollment goals are met and exceeded.

PRINCIPAL DUTIES AND RESPONSIBILITIES: 

Assists with a high volume of customer inquiries and issues via phone, e-mail, chatbot and walk in traffic.

Serves as the primary contact for  questions related to the application process and associated materials for both campus administrative offices (Office of Registrar, faculty/ staff from assigned Colleges/Schools, etc.) and prospective students and applicants.

Remains current on University programs and offerings and Graduate Admissions policies to ensure accurate and up to date information is being provided to prospective students and other members of the community.

Acts as administrator for Ivy.ai chatbot, maximizing the product’s features and functionality.

Utilizes Slate CRM system and Banner Student Information System to enter inquiries and admissions data to track students through the prospective, application and enrollment processes.

Processes  application-related materials and corresponding student records in Slate and Banner in a time-sensitive manner with accuracy and a strong attention to detail, and facilitates the timely completion of graduate applications.

Verifies electronic application records and related materials within the application management and Student Information Systems.

Processes admissions decisions and activates matriculations requests as assigned by the Associate Director of Operations.

Performs cyclical tasks related to operations at designated times of the semester, as well as other initiatives necessary to maintain the integrity of application and student related records.

Shares responsibility for opening and sorting the daily mail, management of admissions credentials, retrieving and processing electronic documents and test scores from third party agencies (e.g. GRE, TOEFL, WES, NJ Transfer), balancing application fees and deposits from students.

Assists with providing exemplary customer services, streamlining processes and utilizing technology to improve the efficiency and effectiveness in the Office of Graduate Admissions.

Proactively identifies customer service issues and communicates those issues and potential solutions to management.

Utilizes a variety of software programs including but not limited to Banner, Slate, Outlook, Word, Excel and other related programs.

Assists at Open Houses, Accepted Student Days and other department-wide initiatives.

Performs other duties as assigned.

Management retains the right to add or change job duties at any time.

QUALIFICATIONS:

REQUIRED: 

Graduation from an accredited college with a Bachelor’s degree. Applicants who do not possess the required education may substitute on a year for year basis.

Strong organizational skills, with an attention to detail and ability to process critical information in a timely manner.

Strong interpersonal and communication skills to support student-centered customer service.

Availability to occasionally work outside of normal hours, evenings and/or weekends in the performance of assigned responsibilities.

PREFERRED:

Minimum of one year of customer service experience, preferably using office software such as MS words, MS excel or Google office suite.

Experience in higher education, preferably in admissions.

Experience with Customer Relationship Management and Student Information Systems.

Experience working with non-traditional, adult, graduate, international and/or online population.

Experience with Slate and Banner.

Spanish speaker.

*NOTE: This is a Civil Service position.  As required by the State of New Jersey, in order to be certified to the position and attain permanent status in title, candidates are required to successfully serve a 4-Month Working Test Period.

SALARY RANGE: P16: $49,738.97 - $69,977.54 *NOTE: Salaries for internal candidates are determined by the New Jersey Civil Service Commission's formula. Salaries for external candidates are determined up to step four, $56,485.16.
