The role you’ll contribute:

The GME Manager is responsible for day to day management of the Graduate Medical Education (GME) Office and provides direction and supervision to GME support staff. This position is responsible for the development of Standard Operating Procedures (SOP) consistent with Florida Hospital standards to ensure work-flow, preparation, and execution of activities related to maintaining institutional and program accreditation, HR functions regarding physician and resident recruitment, contracting, onboarding, and mandatory education through Computer Based Learning (CBL’s). The GME Manager will assist the Director in accreditation compliance by acting as a resource to program directors, program coordinators, faculty, residents and fellows and other departments. This position will also have a focus toward financial, business, and strategic planning regarding maintenance of current accredited and non-accredited training programs and future training programs. Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all.

PRINCIPAL DUTIES AND JOB RESPONSIBILITIES :

Scope of Responsibility :

Work collaboratively with the Director and DIO to ensure the effective daily operations of all services within GME.

· Provide supervision and direction to the residency program coordinators, student coordinator, residency HR coordinator, New Innovations coordinator, CME coordinator, and other administrative staff within GME within the prescribed authority delegated by the Director and DIO/CAO. Assign work as required to ensure deadlines are met.

· Work with the Director and DIO in directing and facilitating information flow within the GME Office, residency/ fellowship programs and other external departments to ensure effective communication and the dissemination/feedback of workplace information.

· Design and implement office policies consistent with accreditation standards and FH policies and procedures by establishing standard operating procedures, measuring results and recommending change.

Compliance/Regulatory Responsibility :

· Work with Director and DIO to assure accreditation readiness for self-study and/or focused site visits, Annual Program Evaluation (APE), Special Reviews, Annual Institutional Review (AIR) and other activities related to the quality, accreditation, and growth of the Graduate Medical Education programs.

Collaborate with Director regarding GME P & P required by accreditation standards for GME training programs

· Develop, design, implement and/or identify innovative computerized systems to ensure ongoing compliance with accreditation standards (ACGME, AOA, AAGL, and CPME).

· Annual reports to the Florida Board of Medicine, AHCA, and other surveys applicable to GME.

Operating & Capital Budget/Financial Responsibility :

· Monitor spending and develop trends to assure GME office and training programs remain within budgetary constraints.

· Work with Director and Finance to set perimeters for spending.

· Work with training programs in reviewing past budgets and preparing future budgets.

· Participate in budget review meetings.

Strategic Planning Responsibility :

Participate in strategic planning and development of expanding current GME programs or adding new GME programs that align with the hospital’s mission and community needs.

Performance Improvement Responsibility :

· Collaborate with all FH stakeholders to streamline processes related to the employment needs and requirements of GME staff, faculty, and residents including, hiring, annual requirements, and Visa processes in order to maintain compliance with federal, state and organizational requirements.

Responsible for designing and building detailed reports for program quality in the Residency Management Software (RMS).

Staffing/Labor/Supervisory Responsibility :

Work collaboratively with the GME programs and other FH departments to identify HR-related requirements.

Develop and implement a broad interdisciplinary program of orientation for new residents and fellows.

Develop SOP for Director and DIO review specific to residents and faculty hiring/onboarding process.

Maintain and standardize faculty and resident HR files to assure compliance with FH and AHS employment requirements i.e. licensure, TRN, mandatory CBL’s (BARE FACTS, CME Discounting Program, security, etc.), malpractice coverage, and employee clinic needs (TB, flu shot, mask fits, etc.).

Oversight of accurate processing of faculty, resident and staff payroll, faculty bonus processing, employee change forms, LOA, employee evaluations, disciplinary action documentation, etc.

Serve as liaison to FH HR, FHMG, and AHS contracting team and AHS Risk department to ensure eligibility and timely processing of all employment-related documents.

Work with Director and other leadership to develop GME policies and SOPs as required by hospital, federal and state law, as well as by any accreditation body through which Florida Hospital has authority to train residents.

Develop and deploy departing resident and alumni survey data to assist in future GME development and/or program improvement.

All other duties as assigned by the Director and DIO for the continued success of the Graduate Medical Education training programs.

Qualifications

The expertise and experiences you’ll need to succeed :

Knowledge & Skills Preferred :

Working knowledge of Accreditation Council for Graduate Medical Education (ACGME) and American Osteopathic Association (AOA) accreditation requirements.

Ability to serve as a mentor and coach to GME staff

EDUCATION AND EXPERIENCE REQUIRED :

· Bachelor’s degree in Business Administration, Healthcare Administration, Adult Education or related field

· Four years’ experience in a Graduate Medical Education setting

· Human Resources experience in managing direct reports

Education AND EXPERIENCE Preferred :

Master’s degree in Business Administration, Healthcare Administration, Adult Education or related field

Six years’ experience in Graduate Medical Education in a leadership role

Human Resources experience in developing and managing direct reports

Experience in the management of GME programs.

Experience with budget management and development.

Experience with legal contracts.

Experience with human resources
