Position: Convention Services Manager

JOB OVERVIEW: To assist in the overall efficient operation of the Sales & Catering Department. Responsible for the coordination and execution of group and catering contracts and ensuring the smooth transition from the sales department to operations departments and coordination of the event throughout the program.

REPORTS TO: Director of Catering

ESSENTIAL JOB FUNCTIONS:

The Convention Services Manager is responsible for planning, organizing, and managing the in-house details for assigned sales and social event bookings. This position will be approximately 50% small to medium size corporate bookings and 50% social bookings, with adjustments based on business needs. 

The ideal candidate will be organized and have excellent time management. They will communicate with all departments  in order to coordinate and monitor guest room blocks and special reservation needs. Review and detail all aspects of meeting rooms and food and beverage needs of the client. Monitor all BEOs and billing transactions to ensure details are accurate, payments are received and receipts are sent in a timely manner.

Establish rapport with and entertain meeting planners while promoting hotel facilities and services. Conduct site inspections throughout property.

Plan and conduct pre and post convention meetings with clients and respective departments.

Document tracking of group activity. Access and input data into a computer system to generate account history reports. (Delphi)

Communicate both verbally and in writing to provide clear direction to staff.

Comply with attendance rules and be available to work on a regular basis, as business dictates - may include early morning, nights, and weekends.

Perform any other job related duties as assigned.

Perform administrative duties relevant to account responsibilities in compliance with corporate guidelines. Document and organize detailed requirements of each function. Coordinate activities of various departments to service accounts.

REQUIRED SKILLS AND ABILITIES:

Must have the ability to communicate in English. Self-starting personality with an even disposition. Maintain a professional appearance and manner at all times. Can communicate well with guests. Must be willing to “pitch-in” and help co- workers with their job duties and be a team player.  Ability to utilize a moderately complex computer system. Ability to effectively deal with internal and external customers, some of whom will require high levels of patience, tact and diplomacy to collect accurate information and resolve conflicts. Able to lift, grasp, carry and/or push up to 50 pounds. Ability to work flexible schedule, as well as being able to work shift standing on feet and walking throughout hotel or sitting for long periods of time.

For applicants who will be working in California, the anticipated compensation range for the position is $30 - $31.58 per hour, based on a 45-hour workweek (OEM). This position is bonus eligible.  The salary offered to a successful candidate will be dependent on several factors that may include, but are not limited to years of experience within the job, years of experience within the required industry, education, work location, etc. Crescent Hotels is a multi-state employer and the salary ranges indicated herein may not reflect positions that work only in other states.
