Position purpose:
The Budget Manager for the Office of Formation and Leadership Development is responsible for overseeing the development, monitoring, and reporting of both granted and operating budgets. This role ensures that all financial transactions comply with university policies and grant guidelines, providing regular financial updates to support decision-making and accountability. The position exists to maintain the fiscal health of the office, ensuring proper allocation of resources, compliance with regulations, and efficient use of funds across various programs and initiatives.
Essential Functions:
Manage Grant and Operating Budgets - Oversee the development and monitoring of budgets for the Office of Formation and Leadership Development, including both granted and operating funds. Ensure proper allocation, continuous adjustment, and compliance with university policies and grant guidelines. Provide regular financial status updates and ensure alignment with budgetary provisions.Track and Report Expenditures - Monitor expenditures for all active grants and operating funds, maintaining detailed financial records. Prepare and present regular budget reports to office leadership, highlighting current balances, spending trends, and any discrepancies. Ensure timely and accurate financial reporting to support decision-making and accountability.Process Financial Transactions - Review, prepare, and submit requisitions, payments, and payroll for the Office of Formation and Leadership Development. Collaborate with the University Finance and Accounting department to ensure timely processing of purchase orders, check requests, and reimbursements. Maintain proficiency in the university's financial systems and provide guidance to staff and faculty on using these systems for financial transactions.Manage Purchase Card Reports - Reconcile and manage purchase card transactions for the Office of Formation and Leadership Development. Ensure timely submission of purchase card reports and receipts, maintaining proper documentation for all purchases. Provide guidance on the use of purchase cards and ensure compliance with university policies regarding expenditures.Support Grant Reporting and Compliance - Assist with the preparation and submission of grant reports, ensuring accuracy and alignment with grant guidelines. Support compliance efforts by maintaining thorough documentation of financial transactions and assisting with audit preparation. Collaborate with grant managers to track spending, report on progress, and ensure all reporting requirements are met.Assist in Supervising Undergraduate Student Research Assistants - Assist in supervising a team of up to six Undergraduate Student Research Assistants. Provide lead work, guidance, and support by helping to organize, set priorities, and review work. Assist with scheduling and ensuring the completion of assigned tasks. Contribute to the hiring process and provide input into performance reviews, while not taking full responsibility for hiring, termination, or pay adjustments.
