The Airport Grant Administrator is a well-organized and detailed individual focusing on working collaboratively with our aviation team, our aviation clients, and federal/state agencies on projects commonly funded through the Federal Aviation Administration (FAA) and State Departments of Transportation (DOT). The Grant Administrator assists in the preparation and submittal of FAA and DOT grant applications, prepares and tracks grant reimbursement payments for our client’s contractors, and works on aviation administrative tasks through project closeout. Success will be measured based on ability to develop and manage the information effectively with the aviation design team, our clients, and federal/state agencies. The Grant Administrator will support other market areas/geographies with grant administration as needed. This is a full time position with potential or opportunity to become full-time based on the workload or the ability of the Grant Administrator to learn and perform additional airport administrative tasks.

Responsibilities Prepare FAA grant applications with aviation design team including developing a Summary of Costs detailing the Owners, Contractors and Third Party anticipated costs.Administer FAA Grants: Calculate, prepare and transmit draw down reports for signature by Sponsors once invoices for Engineering Services, Contractor progress payments, and/or Administrative Costs are ready for review by the Owner.Coordinate with aviation design team Billing Coordinator for Woolpert Invoices to be submitted.Enter requests for payment in the FAA Delphi System (or appropriate State system) online. Ensure that pay requests are completed in a timely manner. Prepare FAA Annual Reports and Quarterly Progress Reports for Sponsors with assistance from the aviation design team Client Managers.Prepare and coordinate on any required amendment/change order request letters to the FAA.Prepare FAA Final Outlay Report and Final DOT Reimbursement.For DOT Grants: Track and prepare Reimbursement Vouchers for the state-funded portion of the FAA Grants.Maintains and organizes closeout documents per FAA/DOT procedures.Assist the design team and clients with audit reviews and enhancements to airport policy and procedure documents.Maintains databases as directed.Maintains accurate and efficient filing system (electronic and paper). Qualifications Associates Degree in Aviation, Accounting or Finance, Business, or related technical field desired.A minimum of 3 years professional experience preferred.Well organized: Skilled in self-organization and time management. Must plan and organize to meet deadlines. Must be able to track the status of outstanding invoices and pay applications at any given time.Must be comfortable taking initiative to interact with others.While committed to team efforts, must be willing to act independently. A strong sense of personal responsibility for deadlines and work product is a must.Must write clearly, including grammar, spelling and punctuation.Proficiency with Microsoft Office.Skilled at working online and with databases (Microsoft Excel).
