GRANTS AND CONTRACTS SPECIALIST/ADMINISTRATOR - Department of Pathology
Grants and Contracts Administrators perform pre-award, post-award or a combination of grants and contracts job duties in response to specific proposal guidelines or terms and conditions. They may function in a central unit, school, department, division, institute, or center. Grants and Contracts Administrators facilitate the proposal submission and award administration process. They understand sponsor requirements and interpret guidelines for the Principal Investigator. They are responsible for the processing of proposal or award amendments, communicating with sponsor as needed, and serve as the primary contact for internal and external subcontracts and sponsors. They may perform a range of other duties within their organizations, as needed, but are distinguished by their expertise in grants and contracts administration.

The Department of Pathology at the University of Virginia seeks a Grants and Contracts Specialist or Grants and Contracts Administrator for pre and post award activity. This position will report to the Administrative Director and work with a team of Administrative Personnel.

The University of Virginia Department of Pathology within the School of Medicine is seeking candidates for Grants and Contracts Specialist and/or Administrator.

The Grants and Contracts Specialist/Administrator collaborates with PIs to ensure proposals are complete and submitted to the Office of Grants and Contracts in compliance with their policies. They monitor the websites for OSP, OGC and the Office of Research for updated information and work with the central offices and PIs to ensure proposal acceptance.

The Specialist/Administrator partners with faculty on grant budget reviews and assist with budget modifications if needed. They monitor personnel and OTPS expenses as they occur to ensure they conform to budget and federal costing principles. They initiate costing allocations, payroll accounting adjustments, journal entries, provide monthly reconciliation of accounts, assist with JIT requests, Progress Reports, and effort reporting in the new PAC System.

This is a hybrid position.

Strong verbal and written communications skillsAttention to detail and the ability to manager competing prioritiesKnowledge of Grants and Contracts systems including but not limited to: Oracle, Fastlane/Research.gov, ERA Commons, NIH Assist, Grants.gov and Workspace, Proposal Central, Research UVA and Research UVA Powered by Huron.Candidates with Certified Research Administrator certificates are strongly encouraged to apply.Preference will be given to candidates with knowledge of UVA financial systems (Workday, Qlik sense, and QlikView)


This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.

Grants and Contracts Specialist:

Education: Associate's degree
Experience: At least two years of grant and contract experience. Two additional years of experience may be accepted in lieu of degree.
Licensure: None

Grants and Contracts Administrator:

Education: Bachelor's degree
Experience: At least three years of grant and contract experience. Four additional years of experience may be accepted in lieu of degree.
Licensure: Certified Research Administrator (CRA) certification is preferred.

Education: Bachelor's degree
Experience: At least three years of grant and contract experience. Four additional years of experience may be accepted in lieu of degree.
Licensure: Certified Research Administrator (CRA) certification is preferred.
