About the role

The Group Reservations Coordinator is responsible for all room reservations aspects for groups, monitoring and managing group room blocks with the hotel inventory to ensure group contractual obligations are met and group contacts, Sales Managers, Conference Service Managers, Operational Departments, and Director of Revenue Management are aware of any and all communication regarding group blocks.

What you will do

•    Process all group turn-overs:  building blocks in Opera, making new group file, sending introduction letter to group contact, creating group rate code, verify cut-off date, send cut-off date reminders, and verifying room block and rate information from booking recap, hard block suites or special room requests and clean up old rate codes.

•    Communicate all group activity – pickup, attrition, Special Attention, VIP information, billing, etc. and contractual guidelines to Group Contacts, Conference Service Managers and Sales Managers.  Communicate with Front Desk on group rooming needs and expectations ahead of check in. Communicate group needs and expectations with ResComm team to best facilitate group reservations calls.

•    Run daily reports:  Daily Transaction Report from Delphi, Delphi Booking Recaps, Group Cut-off Report, and Group No Shows; process rooming list within 48 hours of receipt and providing group contact and Conference Service Manager with room block report and rooming list with confirmation numbers.

•    Ensure rate information, advance deposit, and cancellation policy is setup for quoting to guests. Work with Credit manager on group billing. Provide each groups’ rooming list from Group Contact and pickup and/or attrition.

•    Communicate all group activity to ResComm manager to assist in making yield decisions; maintain Delphi system through weekly entry of group pickup for current month and next two months. Perform monthly audits with Delphi Coordinator to ensure all information is accurate.

•    Prepare and lead weekly group pickup meetings. Prepare for and attend group site planning and pre-con meetings.

•    Support the ResComm Agent role including handling phone calls, emails and chat requests. Capture sales from in-coming reservations calls (Room, Spa and Dining) and coordinate details of each call. Complete internal reservation process.

What you bring

•    At least 1 year Reservations experience, preferably in a luxury hotel or resort with high volume.

•    Excellent personal presentation and interpersonal skills.

•    Knowledge of hotel operations.

•    Strong time management skills: ability to multi-task, set priorities, and adjust to changing conditions. Willing to work in a fast-paced environment.

•    Ability to operate all computer equipment necessary to perform the job; knowledge of Delphi and Opera preferred/is a plus. Ability to type 40+ words per minute.

•    Excellent communication and interpersonal skills; ability to work closely with other departments and communicate clearly and effectively with colleagues and guests.
