Group Sales Associate

Essential Duties:

Achieve sales/rates/profit goals of the Venue’s catering/events segments. Author and publish group catering sales budgets. Develop, implement and provide periodic updates to the Venue’s annual sales plan. Utilize CRM daily to build and maintain an events prospect database, track all communications and activities with those prospects, and record all sales made. Maintains electronic group and prospective group databases and hard files. Creates and maintains accurate and efficient filing systems. Answers group and prospective group questions with accuracy and efficiency. Assists in developing contacts with area corporate, local businesses, civic organizations, and charity groups to promote our venues. Maintains positive contacts with previous groups and follow-up on all initial contacts of potential new groups. Respond to prospect inquiries, conduct tours and meetings for prospective events, and sell events. Oversee the development/preparation of contracts for events. Work with the Venue’s General Manager to determine selling prices and menus for meetings, gatherings, and catered events. Schedule banquet event functions, price and prepare event proposals, collect signed contracts and deposits. Transmit the necessary information about all events to the appropriate support staff. Ensure smooth execution of events by collaborating with appropriate department heads. Meet with key stakeholders to present sales and marketing plans and review results. Attend important events to foster relationships that are important to generate event referrals and other club business opportunities. Participate in outside activities that are judged appropriate by the General Manager and/or RealFood regional team to enhance the presence of the property in the local community. Participate in monthly sales calls and/or meetings and the annual Troon sales meeting. Work with venue partners including RealFood Corporate Director, marketing, and PR firms to drive awareness and new business to the club. Work with the Venue’s GM and RealFood regional team to create sales materials/collateral. Maintain the property catering PACE report. Generates monthly calendar of events for department managers in order to advise of future events to ensure proper staffing levels are met, coordinate inter-departmental support, and ensure proper coordination of special set-up, accommodations, or other arrangements. Works with customers to coordinate event details. Assists with the initial start of parties on the day of the event. Maintains adequate inventory of group sales kits and various group sales information. Performs various administrative and sales duties during events. Maintains complete understanding of group sales information and sales processes. Regular and reliable attendance. Performs other duties as required. Speak, write, and communicate intelligibly and present a professional appearance.

 

Education/Experience:

Associate’s degree (AA) or equivalent from two-year college or technical school preferred Minimum two-years’ previous experience in event sales in a food and beverage establishment Previous operations experience in the food and beverage industry, including FOH, BOH, or catering experience Knowledge of Toast POS system a plus

Physical Demands:

Frequently sits, talks, hears; uses hands. Regularly walks and stands. Occasionally reaches with hands and arms, stoops, kneels, crawls and crouches. Occasionally lifts up to 25 pounds.

Environment/Noise:

Noise level is moderate. Occasionally exposed to outside weather conditions.

Specific Job Knowledge, Skills, and Abilities Preferences:

Ability to read and speak English in order to perform the duties of the job (e.g. the associates are required to communicate with English speaking customers or co-workers, the manuals for the equipment the associates use are in English). Knowledge of Microsoft Office applications.
