Job Description – Group Sales Coordinator
SUMMARY
The Sales Coordinator is responsible for performing daily tasks that assist the Sales Office and Group Sales Managers in alignment with the department’s long term goals and objectives.
ESSENTIAL FUNCTIONS
Responsible for handling administrative duties as assigned.Consistently meet Department Standards. Accurately complete all details.Support Sales initiatives across the Sales Office including daily client service, acting as an “inside sales” contact and liaison handling assisting with group leads while ensure maintaining a clean data base per Department Standards. Maintain open communication channels between the reservations team, front office team, and Catering/Conference Services team, passing along pertinent information in a timely manner.Assisting the sales team in preparing for tours and detailing guest reservations providing an excellent level of service and communication with the clients and inter-departmental.Assisting the Group Rooms Coordinator with entering group rooming lists, setting up group billings, entering group reservations notes, creating passkey links, and other functions as needed.Assisting the sales team with preparing contracts, proposals and other administrative tasks as assigned.Provide excellent customer service to our clients and their guests, third party and direct bookings.Act as an initial point of contact via phone for the Sales department while adhering to Department Standards, using the guest’s name when provided or displayed, and an established script. Be well-informed in order to accurately answer guests’ questions about the resort.Attend meetings as required, be prompt and prepared.Maintain visibility and integrity of our department throughout the resort promoting mutual cooperation in assuring our clients are delivered the service as promised.Develop a trusting and long-term relationship with our accounts.Assist in the preparation for travel and tradeshows.QUALIFICATIONS
Bachelor’s Degree preferred. Two years’ experience in customer service in a hotel environment. Must be able to speak, read, write and understand the primary language(s) used in the workplace. Must be able to read and write to facilitate the communication process. Requires good communication skills, both verbal and written. Ability to communicate customer needs and resolve complaints independently. Ability to establish and master goals. Ability to identify and assist in the development of accounts. Ability to act independently with minimal or no supervision. Must possess basic computational ability. Must possess computer skills, including, but not limited to, accounting programs, Microsoft Word, Excel and Delphi. Tasks with Delphi will require follow notes and account entries from post trade shows and telephone activity Math skills, as well as budgetary analysis capabilities required.PHYSICAL DEMANDS
Most work tasks are performed indoors and at a desk. Temperature is moderate and controlled by hotel environmental systems. Must be able to sit at a desk for up to 5 hours per day. Walking and standing are required the rest of the working day. This may include traveling to and from meetings. Length of time of these tasks may vary from day to day and task to task. Must be able to exert well-paced ability to reach other departments of the hotel on a timely basis. Must be able to lift up to 15 lbs. occasionally. Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening and hearing ability and visual acuity. Talking and hearing occur continuously in the process of communicating with guests, supervisors and subordinates.
The pay scale for Group Sales Coordinator is $24.00 per hour.
The pay scale is the base salary or hourly wage range, exclusive of incentive pay such as commissions, piece rates, gratuities, and the like, that Montage reasonably expects to pay for the position.
