Guest Services Representative
POSITION: Guest Services Representative DEPARTMENT: Executive REPORTS TO: Executive Assistant Summary ASM Global, the leader in privately managed public assembly facilities, has an excellent and immediate opening for Guest Services Representative/HR Assistant for ASM Global/Sames Auto Arena. Responsible for delivering a high-standard of customer service at the Guest Services desk and completing administrative HR duties at the request of the HR Designee. Essential Duties and Responsibilities Include the following: + Assists customers, clients, staff, tenants, and general public + Answers incoming calls, determines purpose of calls and forwards to appropriate personnel or department + Takes and delivers messages or transfers calls + Answers questions about company and events + Welcomes visitors, determines nature of business, announces visitors to appropriate personnel + Monitors visitor access and issues passes when required + Operates radio dispatch as needed + Receives, sorts, and routes mail and maintains and routes publications + Retrieves messages from voicemail and forwards to appropriate personnel + Composes and types routine correspondence + Makes copies of correspondence and other printed materials + Schedules part-time employees for Directors at their request + Coordinates schedules and makes appointments for Directors at their request + Conducts research and compiles statistical reports; maintains marketing databases + Performs other clerical duties as needed + Assist in the maintenance of employee files + Maintain employee and applicant logs + Assist with the organization, pre-screening, & distribution of applications + Maintain compliance binders (I-9, Confidential Questionnaires, etc) + Conduct background checking as requested by HR Designee + Schedule new hire orientations + Attend job fairs in the absence of HR Designee + Assist with job postings, online applicants, and online posting maintenance + Input incident/injury claims + Assist HR Designee with other tasks as needed Other duties may be assigned. Education and/or Experience + High school diploma or GED is REQUIRED + Bi-lingual (English/Spanish) is REQUIRED + 2+ years of administrative experience is preferred Skills and Abilities + Must possess excellent verbal, written, organizational, problem solving and interpersonal skills. + Professional presentation, appearance and work ethic required. Computer Skills + Proficiency in all MS Office applications, office equipment, fax machines, copy machines, etc. + Ability to type at least 55 wpm required.
