Job Purpose or Objective(s): As the Health Information Management Specialist 2, you will be responsible for managing, and securely storing confidential patient records and information. You will participate in rigorous training to perform other duties as assigned to best serve all internal and external customers of the Choctaw Nation Health Services. You will report to the Manager or Supervisor.
Primary Tasks:
1. Works in accordance with all privacy regulations and Oklahoma health laws to determine and fulfill valid release of information authorization requests. Identifies and directs all subpoenas to Health Information Management Director. Fulfills their assigned role and responsibilities as Registrars to the Personal Health Record (PHR) system.
2. Follows policy and procedures for scanning and auditing documents and reports into Vista Imaging.
3. Assembles ambulatory discharge charts and performs ambulatory and ER chart analysis utilizing established criteria. Notifies Supervisor of any helicopter transfers or deaths. Performs routine checks of charts for deficiencies and provides printed deficiency lists to each applicable provider.
4. Provides back up to birth certification, birth register, and death register, as needed.
5. Retrieves medical records, loose filing, authorizations, etc. from clinic areas and registration points as scheduled and file daily in the terminal digit filing system. Batch, label, and route loose reports, late charts/documentation for scanning that are critical to coding, prioritizing according to process and policy.
6. Completes Inpatient and Day Surgery chart filing and analysis utilizing established criteria. Identifies, maintains, enters, removes, and assists providers/staff with Inpatient and Day Surgery deficiencies, as needed.
7. Maintains Fetal Monitors as needed with no errors.
8. Other duties as assigned.
Required Education and Experience:
· High School Diploma or GED
· Requires working knowledge of correspondence, scanning, and other tasks within the scope of health information management services
· Ability to work with other departments and members of the medical staff.
· Accurate typing skills
· One [1] to two [2] years of experience within a health information management department
