Health Information Specialist Lead, Full-time

The HIM Lead Specialist processes release of information (ROI) for Brooks Rehabilitation service lines, specifically medical record requests, in a timely and efficient manner ensuring accuracy and providing customers with the highest quality product and customer service. Prepares medical record documents of patients for scanning in various settings. Scans/uploads documents into an electronic system to ensure accuracy and timeliness. Ensures patient name, medical record number, account number, form type and other applicable information is correct. Review records for completion based on applicable regulations (accreditation agencies, CMS, or state). Post ROI charges and payments, monitor Account Receivables and perform timely follow up, reconcile cash flow with payments received, follow up on hold requests. Communicate with providers, physicians, and clinicians to obtain any missing or incomplete documentation. 

Responsibilities: 

Monitors Release of Information (ROI) and Medical Record Analysis team and processes.  On-going auditing of ROI completed requests to ensure quality of outgoing records and compliance with HIPAA regulations.  On-going auditing of Ring Central calls to ensure team is providing excellent customer service.  Produces and reviews reports to ensure team is meeting productivity standards and department goals.  Processes all ROI requests, specifically medical record requests, in a timely and efficient manner ensuring accuracy Monitor Account Receivables and perform timely follow-up on outstanding invoices. Post ROI charges and payments. Reconcile cash flow with payments received Follow up on Release of Information (ROI) requests that are placed on hold status. Provide high quality customer service Associate must at all times safeguard and protect the patient’s right to privacy by ensuring that only authorized individuals have access to the patient’s medical information and that all releases of information are in compliance with the request, authorization, company policy and HIPAA regulations Receive and process requests for patient health information in accordance with Company and Facility policies and procedures Ensures HIPAA regulations compliance to safeguard against unauthorized disclosure Responds to requests for patient records, both within the facility and by external sources, retrieving and transmitting them securely Answering of inbound/outbound calls Assists with patient walk-ins Assists with administrative duties such as handling faxes, opening mail, and data entry Must meet productivity expectations, benchmarks and goals. Performs a variety of activities involving preparation, scanning and indexing of medical record documents so that scanned images upload to the Electronic Health Record. Reviews EHR for deficiencies and communicates the providers and clinicians when documentation is missing or incomplete. Monitors accordingly.  Must retain excellent phone etiquette and customer service skills. 

Qualifications: 

High School Diploma or GED equivalent required.  8 or more years of experience in health information or related activities involving use of computer and familiarity with health information forms. Formalized medical record technician training, or previous experience in health information management preferred.  Bachelor’s degree preferred.  Working knowledge of medical terminology; Understanding of HIPAA and State regulations for release of information and safeguarding patient health information.  Thorough knowledge of legal medical record requirements, medical record forms and content; Ability to use peripheral equipment such as scanners, printers, fax machine, and photocopier. Strong computer skills working across various databases  Ability to work professionally with co-workers and staff from other departments and vendors as needed Ability to focus on details, and multi-task in a fast-paced environment with multiple electronic health record systems.                

Location: 3599 University Blvd South Suite 1000, off of Samuel Wells Drive

Hours: Monday – Friday, 40 hours per week
