The Health Sciences Building Coordinator (BC) performs various building management functions in the Health Sciences buildings. This may include management of keys and building access, facility checks, billing and inventory tasks, and administrative duties. The BC ensures that activities within the Health Sciences facilities continue in a safe and organized manner. Under the general direction of the Health Sciences Building Manager, the BC supports other Health Science Services units and occupants of the Health Science Buildings. The BC engages in effective coordination and communication with Health Science departments and University of Washington service organizations. Interactions may be conducted in-person, via email, on the phone, or online meetings. The BC must be a keen listener, detail-oriented, and excellent at obtaining information from stakeholders and customers. The BC will be expected to multi-task, address issues quickly, and track the progress of long-term projects. Working with the Building Manager and existing Building Coordinator, the new Building Coordinator will foster a customer focused and positive working environment which respects the university’s Diversity, Equity, and Inclusion mission. **DUTIES AND RESPONSIBILITIES** **Building Management Office administrative duties** • Serves as first point of contact for Health Sciences Building Management. Directs customers’ requests and connects them to appropriate resources. • Effectively communicates Building Management and UW policy to customers. • Assists with developing and maintaining unit policies. Able to interpret the policies and apply them to situations that may arise in the building. • Answers emails, phone calls, and messages on behalf of Building Management. • Manages the Health Sciences lost and found and assists with lock outs. • Follows up with building occupants about ongoing issues. When necessary, facilitates communication between parties about various building events and activities. **Building access and key management** • Enforces secure key management practices and assists UW departments with key tracking and building access requests. • Coordinates and submits key requests to the UW Lock Shop on behalf of building occupants. • Keeps track of keys in stock and issues keys to UW users as needed. • Uses the OnGuard system to grant users building access, remotely manage building doors, and resolve access issues. • Approves requests for photo IDs and access badges. Submits monthly billing for access service charges. • Understands the Health Sciences keying system and can answer occupant questions about building keys and access. **Monitoring building activities and space use** • Ensures that building occupants follow safety and security policies. Provides instruction on policies when necessary. • Facilitates the annual hazardous material permitting process. • Responds to occupant concerns about building security. Contacts UWPD when necessary and discusses ongoing security concerns with the Building Manager. • Supports the Health Sciences Services objective of improving space utilization in the building. **Coordination with UW Facilities** • Distributes Facilities shutdown notices to impacted occupants during work in the building. • Serves as point of contact for Facilities when scheduling shutdowns and impactful work. • Coordinates with occupants who are impacted by work and assists Facilities with rescheduling work if necessary. • Reports building issues to Facilities in common areas and follows up to ensure completion. **Building inspections** • Inspects elevators and common areas for safety, security, and code compliance issues. • Performs weekly checks of lactation spaces, freezer alley, loading docks, and building corridors to make sure they are properly maintained. • Communicates compliance issues to departments and units. • Reports repeated or serious compliance issues to the Building Manager. • Accompanies the Seattle Fire Department and UW Environmental Health & Safety on annual safety inspections. **Perform related duties as assigned** **MINIMUM REQUIREMENTS** High school graduation or equivalent AND two years of experience in the program specialty (building and/or facilities operations) OR equivalent education/experience. **DESIRED QUALIFICATIONS** • Excellent oral and written communication skills, including demonstrated skill at communicating with a diverse population of students, staff, faculty and the public. • Experience with, or ability to become quickly proficient with computer applications, databases, and systems; including MS Word, Excel, Access, and facility access applications. • The Building Coordinator must demonstrate attention to detail and the ability to manage large amounts of complex data efficiently and accurately. • Ability to effectively assess and respond to emergency situations. • Ability to read and understand online and printed floorplans.
