Job Title: HOA Closing Assistant

Reports To: Closing Manager

Position Summary:

The HOA Closing Assistant is responsible for administrative support to the Closers & Closing Manager. Concentration will be assisting in preparing closing paperwork for Closers.  Also assist with post-closing process of scanning and filing finished paperwork along with coupon orders

Essential Job Functions: 

Delivers and promotes prompt, courteous and outgoing friendly service to all residents, guests and fellow employees. Matching closings with estoppels. Scanning & filing finished closing paperwork, along with any deposits and all Association paperwork. Order coupons for homeowners. Work closely with Closing Manager and Closing Assistant. Reach out to Title Companies for any missing paperwork or funds. Manage daily tasks and resolve inbound questions or requests timely. Ensure all closing documents are correct and executed in a timely manner. File and Box all year paperwork at the end of year to prepare for storage. Work collaboratively with other departments. Demonstrate a strong commitment to performance accountability.

Qualifications:

High School Diploma or GED Strong organization skills, accurate, and detail-oriented Strong work ethic, ability to learn quickly and adapt to change Ability to operate in rapidly scaling, high-growth environment Excellent communication (oral and written) skills Ability to take initiative and work independently to establish and manage work priorities, activities and timelines to achieve results Exhibits sound judgment and swift decision-making skills Exhibit strong attention to detail Ability to think creatively and come up with solutions Ability to critically review, summarize, and report findings and recommendations PC skills including working knowledge of the Microsoft environment and the ability to access, manipulate, organize and relay information in a meaningful way. Proficient in Word, Excel, and Outlook

Education/Certificates/Licenses/Training:

High School Diploma or GED.

Experience/Background/Knowledge:

Previous Office experience preferred.
