Senior On-Site Service Specialist, Hospitality

Position Profile

Provides a consistent and high-quality standard of food and beverage setup/service to clients, ensuring smooth delivery of conference and function services. Responsibilities include:

Setting up and breaking down conference rooms according to event orders. Maintaining cleanliness standards for kitchens, equipment, and meeting rooms. Assembling and arranging conference equipment in function and conference rooms per event requirements. Disassembling conference rooms at appropriate breakdown times. Performing office maintenance tasks, including trash removal, cleaning, ordering, and restocking kitchens, pantries, and supplies. General clerical and reception duties, including copying, mail services, shipping/receiving products and supplies, sorting/distributing mail, and handling incoming/outgoing mail. This position reports directly to the Site Manager or Assistant Site Manager, depending on site personnel configuration. Job Duties and Responsibilities Ensure excellent and professional client service at all times. Lead in coordinating meeting rooms and events. Train team members on responsibilities and tasks associated with the position. Handle conference room, function, and event setups/breakdowns (e.g., tables, chairs, podiums, divider wall adjustments, catered food, ice, refreshments, cups, plates, plastic ware, napkins). Undertake general waiting and service duties for food and beverages. Follow hygienic food and beverage handling procedures. Assist in cleaning kitchen and function areas as directed. Manage conference/hospitality calendar, greet clients, and assist guests. Conduct conference room sweeps (adjust chairs, wipe down tables, stock supplies, adjust blinds). Prepare and assemble flip charts, whiteboards, and corkboards. Set up and break down food preparation for client meetings, parties, and company events. Maintain and clean kitchen equipment, including coffee machines, refrigerators, microwaves, and ice machines. Load dishwashers with items used by client personnel. Order and track inventory for supplies, food, beverages, etc., for kitchens, conference rooms, and pantries. Perform occasional office cleaning tasks, such as trash removal, dusting, restocking restrooms, sweeping, mopping floors, vacuuming, and window washing. Perform general clerical, copy center, mail, and delivery duties, such as distributing office supplies, packages, fax transmissions, and mail. Complete other job duties as assigned. Qualifications (Education, Experience, and Certifications)

Typically Required:

High school diploma or GED. 1-2 years of related hospitality and office experience (preferred). Valid driver’s license and minimum auto insurance coverage may be required (per Ricoh policy).   Knowledge, Skills, and Abilities Clear communication skills, both verbal and written. Capable of working in a fast-paced environment. Excellent customer service and organizational skills. Basic computer and office equipment proficiency. Ability to meet and exceed customer expectations. Ability to follow directions and maintain a clean and safe work area. Works effectively in a team or individually.   Working Conditions, Mental and Physical Demands Typically works in a professional office environment with adequate lighting, ventilation, and normal temperature and noise levels. Requires interaction with internal team members, client personnel, external customers, agencies, vendors, and the general public. Requires physical effort such as walking, standing, bending, reaching, lifting, or carrying objects weighing up to 75 lbs (e.g., office furniture, conference room fixtures, equipment, supplies). Must push a 30-pound refreshment cart to specific rooms, including conference rooms, kitchens, and break stations. Able to walk or stand for long periods of time. Requires moderate dexterity and basic skills application (e.g., postage machine, office equipment, minor conference room furniture maintenance, eye/hand coordination).
