The Group Rooms Coordinator oversees the efficient handling of all group reservations, including requests, modifications, and cancellations. This role serves as the key liaison between meeting planners, group clients, and internal departments such as Sales, Catering, and Front Office. Responsibilities include managing VIP reservations, special requests, creating Passkey links, upselling room types, processing rooming lists, coordinating billing instructions, and ensuring seamless communication across departments to surpass group meeting attendees' expectations.

Responsibilities

Where You'll Make an Impact:

 Prepare group resumes and ensure accurate arrival preparations.Set up billing/routing and assign contract concessions.Record group rooms and revenue in management systems (HMS, Passkey, Delphi).Process group reservations, including requests, changes, and cancellations.Understand hotel layout, facilities, and special services.Maintain accurate group filing systems and trace group blocks.Update group block notes and coordinate with departments for reservation details and needs.Provide, maintain, and follow up on reports and records for groups.Conduct weekly pickup meetings and prepare reports in advance. Ability to communicate effectively with meeting planners, group clients and guests associated with a group.Ability to work in a fast-paced and busy environment, maintain physical stamina and proper mental attitude, ability to deal effectively with management, employees and outside contacts while working under pressure and meeting deadlines, strong leadership qualities and sound judgement with effective decision-making and problem-solving skills.Excellent customer service skills.Excellent computer skills.Previous experience using hotel Property Management Systems, Infosys HMS, Cvent Passkey, Amadeus Delphi preferred.

 

Must-Haves:

High School graduate or similar equivalent.At least 2 years previous work experience in Hotel Reservations/Hotel Operations, or similar experience, which provides the required knowledge, skills, and abilities.Must be able to comply with all state gaming regulations, which may include obtaining a license.
