Job Responsibilities
As a Hotel Operations Assistant, you will provide administrative support to the hotel and be the liaison between the Sales and Events Office and the hotel Operations Team
Your specific duties in this role will include:
• Prepare internal and external correspondence.
• Input guest profile information and Engineering information into Guestware software.
• Review and distribute weekly GSS/ESS reports to Management staff.
• Create and distribute daily "R" ways packet with relevant and accurate information.
• Create and distribute the "In the Know" form with relevant and accurate information.
• Provide HR support, i.e., logging and screening employment applications, preparing regret letters, checking references, filing, making copies, maintaining associate information boards, writing new associate announcements.
• Assist in developing and executing associate training classes and activities.
• Maintain a thorough knowledge of hotel staff, room locations, room rates, outlets, hours of operation, amenities and selling strategies.
• Create and log Hotel Certificates.
• Perform and document "It's in the Details" property walk throughs.
• Assist Sales & Events office by being contact for walk in guests interested in booking group rooms or events.
• Distribute reports and information from the Sales & Events office to the property Operations team.
• Transcribe and distribute minutes from weekly staff meetings to all Management.
• Maintain and order appropriate level of collateral.
• Deliver group room "gift bags".
• Perform Front Desk and Bell Attendant duties as needed.
• Assist in maintaining the cleanliness of the Executive office and surrounding areas.
• Assist in checking all fixtures, equipment and conditions (lights, heating/cooling, furniture, wallpaper, etc.) for proper operation, settings and maintenance. Report deficiencies.
Job Requirements
We are looking for a self-motivated Hotel Operations Assistant with a strong work ethic and a drive to exceed expectations. It is also important that you have excellent communication, interpersonal and presentation skills as well as the ability to establish rapport with guests and colleagues.
Specific qualifications for the role include:
• 6 months to 1 year related experience
• Associate's degree (A. A.) or equivalent from two-year college or technical school; or equivalent combination of education and experience
• Maintain a valid Driver’s License from the state which you reside with no major violations
• Solid organizational, time-management and prioritization skills
• Exceptional customer service skills
