House Manager

Job Summary:  

The family are based in Hong Kong but travel frequently to Europe and the UK. As an estimate they are in residence for three to six months of the year in London. The chosen candidate’s role would be to look after their 17,000 square foot residence over four stories – Consisting of four bedrooms with En-suite bathrooms, multiple function/ dining rooms and two kitchens. They also have a rental property nearby that houses fixed tenants. The ideal candidate would also be the contact for the tenants in cases of maintenance issues (arranging handymen, plumbers etc). The overall tenancy is managed by the family’s office. The household is English speaking and the family employ three full time Housekeepers, two personal assistants and a chef on a live out basis. Occasionally when they are in residence, they also have the assistance of a live in Housekeeper. The household has many applications and different providers, so a candidate who is somewhat technology savvy and organised would be a huge benefit for the family. A confident driver is also required to carry out errands. An Automatic car will be provided. The household has two cats and five dogs – four golden retrievers and one cocker spaniel.

Job specification: 

Administration and budget control – producing monthly budgets and account reporting. Revising inventory of the house contents; adding new items, recording movement. Managing staff (creating rota, keeping tabs on holidays/time in lieu, cleaning schedule, resolving disputes, replacing uniforms, etc.); training as needed. Assisting with interviewing and hiring staff; keeping in contact with agencies. Liaising with security team (who are on site). Coordinating diaries with family schedule, contractors’ visits, etc. Checking cleanliness of the house, notifying staff on the overlooked areas. Keeping an eye on the fabric of the house, spotting damages and informing Principal with the proposed action to rectify and possible quote for approval. Coordinating maintenance schedule, reviewing reports and booking recommended works. Arranging repairs, selecting contractors, getting quotes, ensuring quality of service, obtaining references as needed. Arranging house supplies, checking and shopping for/ordering stock Sending monthly accounts records to relevant people and putting together annual budgets. Running family errands as requested. Liaising with gardeners and buying and arranging flowers for the house. Arranging the cleaning of gutters/drains on regular basis. Changing bulbs inside and outside of the house. Taking dogs/cats to vet appointments, making appointments. Making restaurant reservations; changing bookings. Embracing ad hoc duties as required.

Duties: with rental apartment across the street:

Booking repairs and following up; informing housekeeper/concierge about visit Liaising with tenants/their representatives regarding access. Replacing appliances; keeping an eye on warranties. Arranging annual services i.e. gas safety check up. Arranging refurb/decoration upon tenants leave. Liaising with letting agencies regarding inventories, keys handover.

Candidate specification:

Calm and organised approach. Approachable demeanour. Flexibility to changing work patterns during busy periods. Experience in Managing household staff. Experience with similar sized households. Communication – as you’ll be working closely with the Family Manager and office. Driver Essential (Automatic). Fluent English speaker (The family and household staff speak English). Pet friendly – the household has dogs and cats
