Job Description

The Temporary Associate - HR Assistant is responsible for supporting the HR department in various administrative tasks and maintaining efficient HR processes.

ResponsibilitiesMaintain employee files, including reviewing and auditing all files, ensuring timely disposition, filing, and uploading to Workday.Organize the HR file room to better utilize space.Ensure an ample supply of new hire welcome packets are printed, bound, and packaged; mail to new hires when notified by Manager/HR Coordinator.Support the Talent Management team in updating Standard Operating Procedures (SOPs).Support the creation and quality review of updated new hire and hiring manager communications.Ensure timely packaging and shipment of weekly Distro.Support the process of providing parking transponders for SS Parking Employees and Vendors.Take inventory of office and kitchenette supplies for the HR team; notify HR Coordinator when an order needs to be placed.Provide general administrative support to the Human Resources department, including ad hoc support to HRBPs, Talent Learning & Development, and HR Operations.Provide top-notch HR customer service to all employees by addressing routine employee inquiries and escalating questions appropriately to HR management, HRBP, Benefits, TA, L&D, Systems, or Compensation teams.Maintain the highest level of confidentiality in all matters and materials.Support the HR Coordinator as needed to ensure the successful onboarding process for new employees, including sending welcome emails, ensuring all new hires are sent HR orientation invitations, IT orientation, and I-9 verification meetings, and scheduling new hire check-ins with HRBPs.Provide administrative support throughout the termination process, including preparing and providing exit information documents, scheduling exit interviews with appropriate HRBP, and uploading termination documents to Workday.Support in the ordering of business cards.Coordinate any maintenance needed for the kitchen area.All other duties as required.Essential Skills2 to 3 years of HR admin support experience, understanding HR processes and flexible on current processes and updating SOPs.Ability to prioritize tasks and deadlines appropriately.Experience with HRIS systems (Workday preferred).Proficiency in Microsoft Office Suite and MS Teams.Typing speed of 40 words per minute.Strong data entry, onboarding, administrative support, and customer service skills.Additional Skills & QualificationsAssociate or Bachelor's degree in a related field is ideal.Work Environment

100% onsite role serving as the point of contact for employees with questions and acting as the onsite liaison. Working hours are from 9 AM to 4 PM with a 30-minute lunch break. The HR team includes a CPO, Director of Talent and Development, and Lead HRBP. The facility offers numerous amenities, including a gym, fitness classes, trainers, UT Sound Lab (music room), lap pool, activity courts (tennis, sand volleyball, basketball), coffee bar, and a café with complimentary breakfast and lunch. The position is a long-term temporary role for 6 to 12 months.

The pay range for this position is $25.00 - $30.00
