Job Title: HR Administrative Assistant
Department: Human Resources
Summary Assists the Human Resource Department and operates the telephone system to answer incoming calls and directs callers to appropriate personnel by performing the following duties.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
+ Processes employment applications and assists in other employment activities.
+ Retrieves messages from voice mail and forwards to appropriate personnel.
+ Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
+ Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
+ Answers questions about organization and provides callers with address, directions, and other information.
+ Pre-registers and welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
+ Monitors visitor access and issues passes when required.
+ Updates appointment calendars.
+ Receives, sorts, and routes mail, and maintains and routes publications.
+ Performs other clerical duties as needed, such as filing, photocopying, and collating.
+ Sends “welcome” letters to all new hires…

+ Loc Apparel for employees
+ Business cards
+ Flowers for funerals
+ Orders baby gift
+ Coffee and coffee supplies and beverages for office area
+ Office supplies – ie, pads of paper, pens etc.
+ Food and beverages for meetings - breakfast or luncheons for supervisors/managers/directors etc.
+ Ensures that the main conference room is stocked with beverages and is set up and ready for meetings.
+ Ensures that the conference rooms are clean and orderly.
+ Takes supply closet inventory and ensures is neat and organized.
+ Compiles orientation packets for contractors and sends weekly hours to staffing agencies.
+ Sets up weekly overtime for weekend work in Plex.

High school diploma or general education degree (GED) and three to five years related experience and/or training; or equivalent combination of education and experience.

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
