Overview:
Burlington is seeking an HR Administrative Assistant to assist with the daily operations of the Field HR team by addressing and resolving requests related to stores. Manage and support the use of systems and tools and develop and maintain a comprehensive knowledge base of common issues and their resolutions to streamline and expedite the resolution of recurring challenges.
Handle weekly/monthly & YTD reporting and follow up as it relates to HR complianceSupport the Field team with training completion, certifications and progress reportingActively aid RHRM/New Stores with job fairs, onboarding, training schedules, and booking travelHandle administrative duties including answering phone calls and queries from Field Leadership, Stores and associatesMaintain RHRM schedules/PTO/Sick Time entriesPrepare HR documents as needed and provide calendar support to the HR Director
Major Duties and Responsibilities
Associate Relations
Support Associate Relations investigations and requests from HR Staff, the compliance and/or legal team by organizing data, drafting reports and helping with research when necessaryWork with Associate Relations and the Regional Human Resources Team to track final resolutions on Associate Relations cases on a monthly and YTD basis or as requested for analyzationEscalate complex issues to the appropriate teams and follow up through resolutionAssist with Your Voice program by compiling & sharing reports, tracking compliance and follow up on High Focus Store Activity to support RHRMs & DMsCompliance
Asist Stores, DMs & RHRM/THRD with Workday processes & ensure transactions are processed accurately within a timely mannerProvide ongoing support to field leadership as needed related to HR systems, Practices, SOPs, Legal requirements and Predictive SchedulingBuild and deploy weekly Predictive Scheduling, and Meal and Rest Break Penalty Reports for Field Leadership and Executive Teams in applicable marketsCompile Quarterly Predictive Scheduling Audits for the Field Team and support RHRM/DM in conducting weekly Predictive Scheduling reviews with outlier locations Maintain awareness of the policy landscape and make recommendations around potential impact to processes.Track, report and follow up on Minor compliance, 19 completion, EEOC reporting, Expense management & No Pay/Term reportingAssist with resolving general questions, SOP practices & Handbook rules/RegulationsStore Learning & Development Support
Support the day-to-day L & D operations of the Field & Store teams, including the administration & tracking of Training Certification Completion, Orientation and Progress of Company HR initiatives and campaignsAssist RHRM in teaching & supporting Field and Store Leadership on various administrative processes and practices in Workday Talent, IDPs, Talent Cards and Performance ManagementSupport the administration of the Field Learning systems and tools including Workday and Training Completion Reporting including orientation and trainingNew Store Support
Manage the New Store Calendars by adding Job Fairs to the calendarMonitor and ensure the return of IT kitsSupport the onboarding of new leaders (District Managers and above) Complete training schedules, coordinate and book travelAdd/Update distribution listsProvide Paradox/Workday support to new LeadersAdministrative Support
Manage Regional, District, and store associate queries, escalate as neededUnderstand & support Store & Field team with Paradox, interview scheduling and disposition of candidatesPrepare HR documents and communications including Store Visit Report, Key Open Jobs, Open Payroll, Turnover, Incomplete Learning Assignments/Certifications, Individual Development Plans, Associate Relation casesManages “store visit” list, support with punch list/action item follow-upSecure responses and necessary documentation for unemployment claimsWorks with Payroll when needed to assist in resolving pay or wage issues on behalf of SM/RHRMsProvide calendar support and appointment management for the Territory Human Resources DirectorBook travel and reconcile HR expense reports for HR DirectorSupport the execution of Birthday, Anniversary recognition & Attendance programs.Execute daily, weekly, monthly, quarterly routines
