Position Summary:
Reporting to the Director of Human Resources, the HR Administrative Assistant plays a key role in supporting administrative and operational support in the HR team. This role be responsible for maintaining and organizing HR employee files and supporting the paper to digital uploading of these files into the HR System. In addition, this role will be responsible for supporting key HR administrative and clerical functions for the department.
What you’ll do:
Administrative Support
Maintain, catalogue and organize accurate and up-to-date human resource files, records, and documentation.
Maintains the integrity and confidentiality of human resource files and records.
Scan employee files to digital format and organize in HR’s electronic filing system as well as uploading to the HR Information System.
Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
Provides files and documents to support audits
Generates reports for audits
Tracks key information for HR application and employment records and on spreadsheets.
Provides clerical support to the HR department.
May assist with payroll functions including processing, answering employee questions, fixing processing errors, and distributing checks.
Other HR Operations and Administrative Tasks
Provide support for Director of HR in credit card and purchasing reconciliation for the HR department and compiling reconciliation reports.
Support other critical administrative HR functions as requested by the Director of Human Resources.
Promote open communication and a culture of feedback within the organization.
