HR Coordinator

Role Summary

The Human Resources Coordinator will play a critical role in ensuring smooth daily HR functions by assisting with tasks related to areas such as recruiting, interviewing, orientation, employee scheduling, tracking certifications/training completion, and handling supply ordering. In partnership with the HR Director, the Coordinator will assist with all areas of the employee experience at the National Medal of Honor Museum. The ideal candidate will possess strong organizational and communication skills, attention to detail, and the ability to handle multiple priorities effectively.

Essential Functions

Prepare and place all internal and external advertisements for recruitment and job positions Review applications & resumes and arrange interviews Maintain personnel filing system, prepare weekly payroll documents for processing Assist with coding all invoices for HR Department Responsible for printing and distributing all badges for each department Responsible for assisting in verifying employment for both PT and FT employees Assist in preparing Workers’ Compensation claims documentation is completed and provided to insurer Input and/or adjust employee schedules to ensure adequate coverage and efficiency. Coordinate with department leaders to address scheduling conflicts, employee availability and time off requests. Partner with department leaders to maintain accurate records of employee certifications and training completion. Track upcoming certification renewal deadlines and communicate with employees to ensure compliance. Coordinate with external departments to schedule and document mandatory training sessions. Assist with the preparation of reports, presentations, and internal communications. Provide administrative support to Human Resources Director. Serve as a liaison between departments to facilitate smooth workflow and address HR challenges. Respond promptly to employees and management inquiries related to scheduling, training, or supplies. All other duties as assigned.

 

Skills and Qualifications

To perform this job successfully, the candidate must be able to perform each essential duty above at the highest levels. The requirements listed below are representative of the knowledge, skill, and/or ability required.

High school diploma or equivalent required; an associate or bachelor’s degree in business administration, Human Resources Management, or a related field is a plus. Minimum of 2 years of experience in Human Resource Administration Prior experience in hospitality, tourism, or museum operations a plus. Must be available to work evenings, weekends, and holidays as scheduled. Proficient in Microsoft Office Suite (Word, Excel, Outlook) and scheduling software. Strong interpersonal and communication skills, both written and verbal. Ability to prioritize tasks and manage time effectively in a fast-paced environment.
