FUJIFILM Irvine Scientific, Inc. is a subsidiary of FUJIFILM Holdings America Corporation reporting to FUJIFILM Holdings Corporation. **Job Description** **Responsibilities** • Department HR Coordinators have primary responsibility for payroll or onboarding & orientation and serve as back-up to each other. (This role is responsible for onboarding and orientation.) • Assists Talent Development Manager with various employee training activities such as planning, scheduling, ordering and prepping materials, room reserve and set-up, support during training, producer during virtual training, post-training surveys, annual budget, LMS/on demand training site (Cornerstone/Spark) administrator, intranet updates, monitor and respond to talent development inbox, promote training opportunities and serve as primary administrative support of California - Employee Training Panel (CA-ETP) grant or similar data collection. • Responsible for new hire onboarding activities, orientation, including conducting the presentation. • Responsible for the timely completion of new hire check list for each new hire. • Maintain personnel files, hard copy and electronic document filing and execute legal copy requests • Back-up for payroll summary and payroll-related tasks. • Update and maintain current organizational charts. • Entry of position requisitions into iCIMS • Update and maintain job descriptions. • Respond to employment verification requests and unemployment claims. • Prepare department USPS, FedEx, UPS, etc. mailings and other HR needs. • Monitor the FUJIFILM Irvine Scientific HR inbox and respond to inquiries within 24 hours of receipt. • Responsible for HR reports, lanyard distribution, updating the HR intranet site, ordering required state documents, etc., processing department invoices and updating and maintaining SharePoint. • Responsible for regular auditing of I-9’s, vacation accrual, wage and hour, and other audits. • Assist with planning and execution of recognition programs and HR events such as wellness fairs • Responsible for pandemic/COVID related activities, including contact tracing, employee communication and state recording requirements. • Act as the point person for employees in regard to benefits, and other HR-related topics. • Builds cross-functional relationships with employees, HR teams and leaders across the business. • Performs other duties as assigned. **Required Skills/Education** • High School degree required. College degree preferred. • 2+ years Human Resources related experience. • Excellent organization and presentation skills. • Experience with HRIS and payroll systems. • Experience in onboarding and orientation and facilitating new hire presentation preferred. • Experience with payroll entry and preparation for processing preferred. • Experience supporting talent development activities preferred. • Excellent phone/video etiquette, written and verbal communication skills, including presentation skills. • Strong organizational, time management and problem-solving skills. • Ability to multi-task and prioritize work assignments with little supervision. • Strong interpersonal skills and the ability to work collaboratively with others. • Knowledge of MS Office (Word, Excel, Outlook, PowerPoint) Suite of products. • Ability to take direction and support a multitude of individuals. • Ability to learn quickly and work independently with efficiency, self-motivation and initiative. • Professional demeanor at all times, including punctuality. • Ability to maintain confidential information with tact and professionalism. • Ability to speak and read English. • Good oral and written communication skills. **Salary and Benefits:** + For California, the base salary range for this position is $27.33 - $30.77 per hour.
