JOB SUMMARY
The HR Coordinator supports the human resources department in ensuring smooth and efficient business operations. The role will require both administrative and strategic responsibilities. This position will assist the HR department in a variety of HR activities such as maintaining employee data, benefit administration, leave of absences, monthly sanction checks while providing backup to other HR functional areas.
PRINCIPLE FUNCTIONS includes the following and other duties may be assigned:
Provides technical support and assistance for the HR software application to managers and HR staff. Build and run data reports from Kronos and Health Stream. Serves as gatekeeper and HRIS data entry and quality management for all new hire, job transfers and compensation adjustments. Effectively coordinate and document on the employee leave program including, but not limited to, FMLA, Military Leave, Medical Leave and Education Leave using applicable federal and state regulations, union agreements and WhidbeyHealth policies with the HR Director approvals. Manage benefits plans within HRIS to accomplish applicable deductions and vendor payments for employee enrolled benefits programs. Develop and maintain effective working relationships with all benefit vendors to accomplish effective information and customer service for all employees. Accurately audit vendor invoices, adjust and approve payment for vendor services after validation of the employee benefit enrollment. Coordinate open enrollment as well as new hire enrollment, terminations and life event changes. Responsible for COBRA administration. Serves as a back up to set up new hires in the HRIS system and other internal systems. Maintain and upload student demographic imports and job function (RQI) imports in the Learning Management System (LMS). Performs LEIE sanction checks monthly to ensure current employees are not on the OIG Exclusion list. Maintains retirement distribution and withdrawal forms. Serves as back up for creation of PAR forms, processing changes and terminations. Serves as back up for annual step increments and verifies the accuracy of entries. Responsible for verification of internal transfers and compensation changes. Collaborates with Employee Health Registered Nurse to facilitate the wellness committee. This includes scheduling, agenda's and meeting minutes. Partners with HR Specialist to provide back up to the front desk for the HR department office and incoming calls. Assists employees, vendors, visitors by answering questions appropriately or connecting them to the appropriate HR representative.
JOB KNOWLEDGE & QUALIFICATIONS
Education
Associate degree in HR or equivalent job related experience.
Training and Experience
Two (2+) plus years of prior experience obtaining knowledge of principles and practices of human resources is required. Intermediate proficiency in MS Word, Excel, Outlook and PowerPoint. Advanced proficiency preferred.
