Job Summary: The Human Resources File Retention Admin is responsible for performing work of a confidential nature; accurately and timely filing designated employment documentation electronically or hard copy format, purging files (current and termed), light data entry, and assisting with coordinating employee functions. The Details: Position Type: Part Time, Year-Round Wage: $19.00 an hour Schedule: 3 days a week ( Between Monday - Friday ). 8:00 AM to 5:00 PM. Responsibilities Fully understands and supports Xanterra Mission Statement, Core Values, Hospitality Standards and Culture Pillar. Allocates appropriate time to consistently perform electronic or hard copy filing properly and daily. Filing includes maintaining new hires, rehires and current employee electronic files and preparing and purging termed files according to the Company’s file retention policy. Appropriate documentation into employee’s current electronic personnel/confidential file or in the respective termed file. removing appropriate documents selected to be shredded or deleted under the direction of the HR Manager or Director of HR. Runs monthly reports for Birthday Card program and timely distributes birthday cards to various department heads for GCR. May Assist with The Grand and Tusayan Trading Post birthday cards. Assembles and distributes Employee of Month and Manager of Quarter awards, distributes to appropriate department head in a timely manner, updates Xpress page and sends company email announcement. Manages tracking of the Company Years of Service Awards program monthly and communicates value of award to accounting and the employee. Timely updates Xpress page of Service Awards recipients. Maintains, and organized HR supply closet inventory, while working with HR coordinator to order supplies Cleans and maintains the organization and cleanliness of office space, file room and manages seasonal décor of the HR lobby. Greets internal or external customers and directs them to the proper staff member for answers to questions that person may be qualified and experienced to properly respond. Assists in processing annual driver’s license background reports and tracks clear and considers under the direction of the HR Manager or Director HR, as needed. Establishes tracking method to perform audits of employee files, ensuring all files and documents are filed accurately with electronic naming convention. Updates the HR department chemical inventory list and Safety Data Sheet (SDS) notebook. Updates Risk Department on HR’s chemical inventory annually. Orders labor law posters no later than the month of December for the new year. Post new posters within the first month of the new year. Conducts a minimum of one Annual Audits of bulletin boards at GCR (Loco Shop/Flagstaff), The Grand Hotel and Tusayan Trading Post to ensure required documents under law are posted. Posts and distributes monthly LIVE LIFE Campaign posters to respective department’s LIVE LIFE Communication Centers. Fills in as HR Coordinator (data entry) position; (greets external and internal customers, processes applicants in iCIMs to posted positions and moves them through ATS system, performs data entry, provides appropriate forms when requested and creates new hire packets as needed. Assists with employee related functions and events such as Employee Appreciation Dinner, Service Awards Banquet, Employee Picnic, Health Fairs & Vaccine Clinics and provides recommendations to committee regarding employee events. Updates and maintains GCR’S Xpress Employee intranet continuously and assists with The Grand and Tusayan Trading Post as needed. Cross trains to support roles of HR Coordinator, Talent Recruiter, Learning and Development Coordinator, or HR Analyst as time allows. Other duties as assigned. Qualifications Minimum Qualifications: Must have previous computer experience with a good working knowledge of Microsoft Office applications (Word, Excel and Outlook). Previous experience working in an office or administrative setting. Must possess a valid and clear Arizona Driver’s license and comply with GCR Special Instructions and the Xanterra/GCR Vehicle Policy Knowledge and experience of filing and file retention is a plus Knowledge and experience with Cloudsuite is a plus Bi-lingual (English/Spanish) language skills a plus. Physical Requirements: While performing the duties of this job, the employee is constantly sitting, twisting, eye/hand coordination, manual dexterity, handling, and wrist motion. Occasional standing, walking, balancing, bending/stooping and climbing. Trunk Strength - The ability to use your abdominal and lower back muscles to support part of the body repeatedly. Static Strength-The ability to exert maximum muscle force to lift, push, pull or carry objects. Occasionally carrying, bending, stooping, lifting, pushing, and pulling items weighing up to 50lbs. Occasionally lift and carry sacks/boxes of files weighing up to 75 lbs. Constantly listening, hearing, and seeing.
