HR Operations Specialist

The HR Operations Specialist responds to incoming inquiries from employees to ensure questions are answered in a timely manner by prioritizing, actively resolving requests, and escalating inquiries when appropriate to maintain service level expectations. This role also completes operational processes in support of HR programs and services while ensuring compliance with relevant State and Federal regulations. In addition to day-to-day support, this role will have project-based responsibilities supporting the Company's HR processes.

Essential Functions

HR Help Center Support:

Responds directly to inquiries in the HR Help Center or escalates to the appropriate resource to handle the request

Actively monitors service-level indicators in Workday and follows up as necessary to ensure timely responses are provided for HR Help Center inquiries

Creates and updates Knowledge Articles to help drive self-service by providing accurate, easy-to-use resources for employees

HR Process Support:

Reviews and approves assigned transactions in Workday to ensure accurate and complete data, such as new hires, terminations, job changes, etc.

Prepares and sends correspondence to employees, such as specialized verification letters and obligation letters

Administers HR programs as assigned

Updates and maintains process documentation for HR Operations tasks

HR Compliance Support:

Monitors completion of electronic I-9 forms and reverifications, works with remote employees to complete I-9 remotely when necessary, submits all forms to the E-Verify system and takes action as necessary

Prepares responses for unemployment claims and delegates cases to appropriate internal resources as necessary to ensure accurate and timely responses

Assists with employee records retention and personnel file maintenance to ensure compliance with company record retention policies; gathers appropriate documentation to respond to employee records requests

Conducts compliance-related audits in partnership with Legal

Comply with Company and department policies and standards; performs other duties as assigned


Minimum Requirements

High School Diploma or Equivalent

2 years Experience to include: 1 year in a Human Resources role and 1 year in a customer-facing role (i.e. customer service)


Preferred Requirements

Bachelor's Degree in Human Resources or related field

1 year experience using Workday preferred

1 year experience with Form I-9 completion and requirements


Skills and Abilities

Ability to communicate clearly in-person, by phone, and in writing

Excellent customer service skills

Proficiency with MS Office suite, intermediate Excel skills a plus
