HR/Payroll Coordinator - On Site
We are looking for a new member of our HR/Payroll team!
This role, the HR Payroll coordinator role is on-site at our location in Montgomery, Illinois and is responsible for human resources (HR) administrative support at site, including recruitment, pre-employment process, applicant tracking, new hire orientation, personnel changes and payroll.
 Prepares and inputs payroll information into the computerized payroll systems to complete bi- weekly payroll. Meets deadlines and maintains accurate pay records to ensure timely and accurate pay for associates. Weekly payroll recap report by gathering hour and productivity information from each department from systems: Bolt, APT, FoodStar and UKG WFD time cards.Update and maintain associate information within HRIS. Verifies payroll information and communicates changes. Review system records of associates’ time, including sick/vacation days and personal holidays, as warranted.Coordinates and processes any irregular payments (e.g., sales draws, bonus payments, etc.). Assures proper documentation for any HRIS/ payroll changes. Answers questions from employees and supervisors regarding payroll matters. Processes payment of bonuses/incentives/merits and tracking of employees on leaves of absence, with need of supplemental paid time off.Assists with recruitment process; may prepare position requisitions, coordinate employment advertising and conduct employment background checks.Conducts new hire orientations to ensure an introductory welcome is made to all new associates and all required forms are completed; either in the systems or from the new hire folder and scan/file as needed. Assists associates with preparation and submission of all employment related forms on an as needed basis. Maintains all digital personnel folders and documents filed as needed.Understands HRIS/ time systems and sites to support HR, and leverages templates and forms as needed for HR processes. Submits all personnel changes into the system, after approvals, including pay change forms. Ensures accuracy of job titles and supervisors, department and account codes/locations. May also assist with safety functions, such as coordinating drug testing and working with clinics, attending all safety calls and preparing any monthly safety materials, etc.May assist with the weekly, monthly communications on App Space/ e-newsletter, along with benefit awareness and PFG news via flyers, postings and use of digital methods. Assist with associate relations projects such as company social events and charitable campaigns, etc.Other duties may include but are not limited to maintains records on vacation, sick leave, etc., assists with workers compensation wage reports, governmental reporting / compliance, assists with garnishment communications to associates/corporate payroll. Create reports for HR, Marketing and other areas ad hoc.Functions as a team member within the department and organization, as required, and perform any duty assigned to best serve the company.  Performs other related duties or special projects as assigned.Behavior/skills required: Ability to keep information confidential regarding payroll and associate files, process focused, detail-oriented, customer service focused with high level of organizational and planning experience of multiple tasks.
