You Are:

UST is looking for The HR Shared Services Specialist (On-Site) – Primarily Learning Operations will be responsible for supporting learning and development activities within the organization. This role will involve setting up classes, managing the Learning Management System (LMS), and providing on-site support to employees with HR-related inquiries. The ideal candidate will have experience with SABA or similar LMS platforms and a background in HR shared services. This position requires a hands-on approach to ensure smooth execution of training programs and effective employee support.

 

The opportunity:

·       Set up and prepare classrooms for training sessions, including arranging materials, equipment, and seating.

·       Facilitate training sessions as needed, ensuring smooth execution and participant engagement.

·       Assist trainers and facilitators with logistics, technical support, and any other needs during sessions.

·       Collaborate with the Learning & Development team to plan and schedule training programs.

·       The Learning Management System (SABA preferred), including user administration, course assignments, and troubleshooting.

·       Assist employees with accessing and navigating the LMS, ensuring they can easily enroll in and complete required training.

·       Track and report on training progress, completions, and compliance requirements.

·       Support the creation and uploading of new training content to the LMS.

·       Serve as the first point of contact for employees on-site regarding HR-related inquiries.

·       Provide guidance and support on HR policies, procedures, and programs.

·       Assist employees with understanding their benefits, payroll, and other HR-related matters.

·       Maintain and update employee records in the HRIS (Workday).

·       Troubleshoots technical system issues, follow through to resolution and provide support to employees and HR.

·       Maintain accurate records for I-9 verifications and reverifications, ensuring adherence to legal standards.

·       Facilitate the onboarding process for new hires, including conducting orientations and ensuring all necessary documentation is completed.

·       Assist with the offboarding process, including exit interviews and ensuring the return of company property.

·       Participate in HR projects as needed, such as employee engagement initiatives, training programs, and process improvement efforts.

·       Provide support during annual HR activities, such as performance reviews and open enrollment.

·       Collaborate with other HR team members to provide seamless support to employees.

·       Manage the HR help desk, ensuring that all inquiries are logged, tracked, and resolved in a timely manner.

·       Location: Austin, TX & Santa Clara, CA (100% Onsite)

What you need:

·       2+ years of experience in an HR generalist or HR shared services role, with a focus on learning operations.

·       Strong knowledge of HR policies, procedures, and employment laws.

·       Excellent communication and interpersonal skills.

·       Ability to handle sensitive and confidential information with discretion.

·       Proficiency in Microsoft Office Suite, Workday & ServiceNow is preferred.

·       Strong problem-solving skills and attention to detail.

·       Ability to work independently and as part of a team in a fast-paced environment.

 

Compensation can differ depending on factors including but not limited to the specific office location, role, skill set, education, and level of experience. UST provides a reasonable range of compensation for roles that may be hired in various U.S. markets as set forth below.

Role Location: Texas

Compensation Range:   $36,000-$54,000

 

 

Benefits

Full-time, regular employees accrue a minimum of 10 days of paid vacation per year, receive 6 days of paid sick leave each year (pro-rated for new hires throughout the year), 10 paid holidays, and are eligible for paid bereavement leave and jury duty. They are eligible to participate in the Company’s 401(k) Retirement Plan with employer matching. They and their dependents residing in the US are eligible for medical, dental, and vision insurance, as well as the following Company-paid Employee Only benefits: basic life insurance, accidental death and disability insurance, and short- and long-term disability benefits. Regular employees may purchase additional voluntary short-term disability benefits, and participate in a Health Savings Account (HSA) as well as a Flexible Spending Account (FSA) for healthcare, dependent child care, and/or commuting expenses as allowable under IRS guidelines. Benefits offerings vary in Puerto Rico.

Full-time temporary employees receive 6 days of paid sick leave each year (pro-rated for new hires throughout the year) and are eligible to participate in the Company’s 401(k) program with employer matching. Part-time temporary employees receive 6 days of paid sick leave each year (pro-rated for new hires throughout the year).

All US employees who work in a state or locality with more generous paid sick leave benefits than specified here will receive the benefit of those sick leave laws.
