HR & TA Coordinator

POSITION TITLE: HR + TA Coordinator

REPORTS TO: Manager - HR

Position Summary: We are seeking an HR + TA Coordinator based in the New York Design Office to ensure effectiveness and efficiency of HR programs, initiatives and communication. This role is a great opportunity to learn and master HR + TA fundamental skills, while building business acumen within a fast-paced corporate environment.

Your key HR responsibilities will include:

Assist HR Business Partner team with coordination of all HR initiatives. Assist and support the coordination of all internal movement, inclusive of coordinating job descriptions with the hiring manager and compensation, requesting of compensation proposals, preparing weekly Headcount Review submissions and creation of compensation profiles. Support On-Boarding of new Associates through partnership with Onboarding, Recruiting and Hiring Managers on new hire set up, paperwork and facilitations of check-ins with Associates and Managers on experience; record & report findings and results. Directly support the company’s Performance Management Program and assist with communication to Departments on related process, training and materials. Own and monitor contingent and temporary worker usage and ensure adherence to contingent labor policy through administrative support in the Vendor Management System (VMS- System One). Ensure proper submission of approval forms, IT requests, in partnership with hiring managers. Maintain and own consistent finance meetings on a bi-weekly cadence to ensure temporary work is within budget. Own the Associate exit process through scheduling and conducting of exit interviews, coordinating paperwork, tracking of exit feedback and partnering with appropriate HR Manager on communication of feedback to department Executives and Leaders. Maintain Organizational Charts for Departments supported and execute needed alignment changes in the HRIS system to ensure accurate visibility and reporting on headcount and budget. Act as a resource for Associates and Management on company practices and policies relating to benefits, pay, PTO, status changes and other administrative functions. Own and manage the hiring process of contract conversions from start to finish. Maintain bi-weekly Overtime Reports to total Brand and Product leadership teams. Responsible for ensuring Associates on a leave of absence return into the business smoothly. Responsible for signing off on all New York ESA time sheets. Responsible for maintaining the New York Design office Engagement by providing presence and on the ground support for the New York Design Office (i.e. company events, initiatives & seating).

Your key TA responsibilities will include:

Facilitate all candidate activity between external search firms & AEO leadership team including CEO office Partner with the Recruiting team to best organize and effectively manage the day-to-day administrative operations of the Talent Acquisition department, from the initial job opening through the onboarding process. Coordinate interview schedules with candidates and internal interview teams, taking into account the dynamics of the organization/team/individuals as well as priorities. Reconcile invoices and all expenses in a timely manner meeting expense deadlines Coordinate domestic and international travel arrangements; prepare detailed travel itineraries inclusive of flights, visas, hotels, meeting agendas, etc. Help with campus events including: career fairs, information sessions, student organization meetings, hotel reservations and on-campus interviewing events Required to be in the New York Design Office at least two days per week prioritizing time in office based on candidate activity Additional responsibilities and special projects as assigned.

We are seeking a candidate with the following qualifications:

Bachelor’s degree in Business Administration, Human Resources Management, Organizational Development, Communication, Psychology or related field of study preferred 2+ years of experience preferred in an administrative position involving HR or TA related work. Outgoing and gregarious, enjoys interacting with a variety of people Self-motivated with critical attention to detail, deadlines and reporting. Prior experience with an HRIS system preferred. Handle proprietary and non-routine information with utmost confidentiality. High degree of proficiency MS Office Suite, Outlook & Internet applications Strong verbal and written communication skills. Exceptional customer service demonstrated through positive actions. Ability to prioritize and manage time effectively. Ability to work in a fast-paced and deadline-oriented environment. Demonstrated collaborative skills and ability to work well within a team.   PAY/BENEFITS INFORMATION: Actual starting pay is determined by various factors, including but not limited to relevant experience and location.
