Overview Our HRIS team is growing and we have a newly created position for an HRIS Operations and Compliance Specialist. Reporting to the Oracle Global HRIS Leader - HR Applications & Digital Experience, in this exciting and challenging role, you will have direct responsibility for leading technical initiatives and projects related to HRIS Compliance across HR systems and processes. This role is unique in that its duties cross many modules, and has responsibility for ensuring that HRIS systems, interfaces, and processes are compliant with Gallagher’s policies and legislative requirements. You will be responsible for ensuring that HRIS systems are compliant with Gallagher IT and HRIS policies, and statutory/legislative mandates, including but not limited to Oracle Cloud HCM (Journeys, Core HR, Employee/Manager Self Service, Onboarding, Benefits, Performance, and Payroll), Service Now, iCIMS Applicant Tracking System, Oracle EBS Core HR, and a variety of third-party HR systems and integrations. This role partners with compliance leadership, IT, Audit, and Finance to improve compliance processes and procedures. This role supports coordination of SOX and other risk self-assessments and supports monitoring of risk mitigation strategies to ensure that targets are met. This role holds responsibility for consulting on projects regarding data security and compliance, designing SOPs and process narrative regarding handling of sensitive data, working with Internal and External audit to produce artifacts demonstrating system compliance, and collaborating with various stakeholders to ensure HRIS systems and processes are compliant. While this role will not be responsible for extensive technical development, a comprehensive knowledge of technical concepts related to HR systems is required for optimal performance of duties. This role will partner effectively with functional stakeholders, HRIS project managers and local and international compliance leaders, in addition to internal and external audit staff, to ensure that HRIS systems and processes are compliant. You will oversee the activities of offshore staff in the day-to-day performance of their jobs as it relates to specific compliance initiatives. They will ensure that project/department milestones/goals are met and adhering to approved budgets. This position can be entirely virtual/remote/work from home and the individual can sit anywhere in the US. How you'll make an impact Review HRIS projects, systems, integrations, and processes as requested by technical/functional stakeholders to ensure compliance with internal IT policies and statutory/legislative mandates. Oversee support of Employee Relations Case Management Tool; this includes facilitating access requests, resolving production issues and coordinating necessary system enhancements and/or upgrades. Act as technical liaison between Case Management vendor and functional business partners, ensuring requirements are translated accurately into technical deliverables. Facilitate timely and accurate processing of HRIS invoices and reconciliation against project hours and budget. Manage HRIS documentation repository and ensure system documentation is regularly updated. Facilitate onboarding, termination, and extension of HRIS contract resources. Coordinate with HRIS team members to ensure project and change requests follow proper governance procedures. Collaborate with various stakeholders to fulfill requests for internal and external audit teams and/or leadership. Develop SOPs for processes within HRIS systems to ensure sensitive data is handled properly. Consolidate and maintain HRIS documentation for critical processes including interfaces and configuration. Facilitate quarterly reviews of user access to HRIS systems and develop and facilitate a regular frequency of system and process reviews to ensure overall technical integrity. Consult on HRIS implementations to ensure user security and data transmission meets HRIS and Gallagher standards. Work with functional and technical team members to ensure processes that involve the transmission or handling of data are well documented and thoroughly vetted. Analyze data and creating reports or analysis processes as needed, including data or process forensics as required. Evaluate the efficiency of controls and improve them continuously. Facilitate HRIS projects/initiatives that are related to compliance and security. Oversee key activities such as project deployments to ensure compliance and project governance standards are upheld. Review and understand technical architecture and configuration for risks and vulnerabilities and develop/maintain strategies for mitigation. Articulate technical risks/mitigation strategies to a non-technical audience in a clear and effective manner. About You Bachelor's degree or equivalent years of experience 4+ years of related experience Some supervisory and/or project experience Prior Experience addressing regulatory compliance (e.g., SOX, HIPAA, GLB). Experience with information security standards, frameworks and best practices. Experience and involvement in an audit process. Experience working with HCM systems and data.
