Ensures that all forms and records are current and accurate. Maintain confidential personnel-related data in the Human Resources Information System. Responsible for all aspects of the new hire process; preparing a hiring register, processing new hire employment documents, and assigning an employee ID number. Organizes the new employee personnel file and verifies that required documentation is accurate including I-9, W-4, disclosure forms, job description sign-off, and licenses and/or certifications required for employment. Maintains the slots for each position; assigns and verifies slot numbers for new hires and makes changes to slots as required including adding new slots. Submits clearances for newly hired employees for Childline, State Police, and FBI in compliance with various licensing regulations. This includes follow-up with the agency, employee, Manager and Director and involves verbal and written communication. Notifies management of non-compliant employees including suspensions and reinstatement of employment, if applicable. Responsible for payment of clearance fees to agencies and any employee reimbursements or deductions. Responsible for processing all terminations, transfers, and changes in employment status and reporting necessary information to Payroll and Employee Benefits. Ensures that all work authorizations are current. Tracks licenses and certifications to ensure that they are current. Maintains current licenses, certifications, and Drivers’ license books. Compiles and prepares employee data reports for various management and support personnel at regular intervals. Prepares reports as required by government agencies. Other duties as assigned. Must be able to lift 50 pounds. High School diploma required. College degree preferred. Prior experience in a Human Resource setting utilizing an HRIS system preferred.
