This is a hybrid role with the flexibility to work both virtually and from our Dublin office (minimum 3 days from our office in George’s Quay).

What the day will look like
The Human Capital Office and Personal Administrator will cover an important role in supporting our Human Capital Executive Committee members in running the Human Capital business in Ireland. This includes organising client logistics, meeting room coordination, diary management and supporting on Dublin-based event management for the 11 Human Capital ExCo members.
Day to day duties will include:
+ Proactive diary management. Work with other meeting organisers to handle clashes, plan travel and preparation time, and anticipate travel requirements. Ensure meetings are prioritising in relation to their importance and priority, to make effective use of time
+ Submit and handle expenses and Amex logs accurately and within the firm’s guidelines. Often this means anticipating expenses based on bookings made, knowledge of diary etc.
+ Plan and organise travel arrangements, including trains, flights, hotels, and itineraries
+ Act as key contact in the ExCo members’ absence including appropriate and timely decision making
+ Organise internal and external Dublin-based meetings including all catering, equipment and logistical requirements, cancelling any rooms which are no longer required. Maintain list of preferred restaurants. Confirm meetings with clients in good time
+ Handle compliance tasks including CPD completion, annual declarations, gift & entertainment registers
+ Any ad hoc duties, requests and initiatives to ensure those supported and their teams can work efficiently, including problem solving re technology.

Skills and experience that will lead to success
The ideal Human Capital Office and Personal Administrator should have:
+ Consistent track record in a similar role within a professional service environment, supporting a senior executive
+ Business Administration educational background, or similar, and possessing excellent commercial acumen and the ability to gain an understanding of multi-disciplinary teams
+ Advanced PC skills including Outlook, Word, Excel, SharePoint and PowerPoint are needed, including support on editing materials and collateral for presentations
+ High professional standards and ability to understand level of professionalism
+ Ability to multitask and prioritise workload, in a fast-paced environment, using time management and strong organisation, being able to get things done accurately, quickly and efficiently
+ Experience in the coordination of international travel arrangements, virtual meeting attendances and diary management
+ Excellent interpersonal skills with a high focus on collaboration
+ Strong communications skills, both verbal and written (English)
+ Self-starter, problem solver, proactive and able to work on own initiative
+ Energetic, enthusiastic and have a can-do attitude
+ Flexible within the role and willing to take on such additional appropriate duties as requested from time to time.
