About the Role Greater Austin Allergy is looking for a Human Resource and Administrative Coordinator (HR/Admin Coordinator) to join our growing team and support our family of companies across California, Nevada, and Texas. You’ll work closely with our PEO and leadership teams to streamline operations, enhance the employee experience, and manage key HR and administrative responsibilities. Our Vision for this Role: Collaborate with the Director of Operations (DO), PEO group, and employees to ensure all HR and administrative tasks are completed in a timely manner. Provide a seamless onboarding experience for new hires. Support annual performance management and pay planning processes. Assist the DO with key tasks, projects, and deliverables to support business operations. Key Responsibilities: Manage candidate and employee screening processes and system updates for hires/terminations. Coordinate all employee leave of absence (LOA) in partnership with the PEO. Generate and monitor monthly HR and payroll reports for accuracy. Oversee payroll processing for all entities and ensure timely, accurate compensation. Maintain and update HR personnel files, ensuring compliance with regulations. Support managers with disciplinary actions, ensuring consistent application of policies. Administer employee attendance point system for the Austin area. Manage Google Groups, calendars, email, and drive permissions for new hires and terminations. Coordinate with the recruiting company on sourcing needs and interview scheduling. Create and distribute monthly calendars highlighting important dates for each entity. Track out-of-office provider days and manage the provider licensure/credentialing process. Handle employee concerns, managing the “Employees Concern Form” and resolving tickets. Lead employee engagement initiatives and celebratory events across all entities. Share monthly HR reporting with the marketing team for employee recognition. Provide quarterly reports to the Controller on shared/out-of-office provider days. Conduct quarterly EHR chart audits for compliance. Administer the annual performance review process and support managers and employees. Assist with the annual open enrollment process. Order and distribute employee apparel. Provide coverage for mail distribution, as needed. Other duties as assigned. Physical Conditions: This position may involve prolonged periods of sitting at a desk and working on a computer. The role may also require occasional lifting up to 20 pounds, filing, and other office-related activities.
